Job Title: Social Services Manager

FLSA Status: Full Time - non-exempt Reports to: Corps Officer

Schedule: 40 hrs. per weekRate of Pay: $14.50/hr

Benefits: Standard; Full-Time, Non-Exempt employees are eligible for but not limited to the following:

Function

The Social Service Manager is responsible for the daily operations of the Social Service Office by providing oversight of staff, volunteers, client case files, budgets, reports, community relations and other administrative duties as required.

Duties and Responsibilities

  • Manage all day-to-day operations of the Social Service Office.

  • Work within the approved budget to provide emergency food, clothing and direct financial assistance.

  • Perform and oversee casework services to include client interviews, needs assessments, and Pathway of Hope case management.

  • Assure adherence to all funding source guidelines (United Way, EFSP, etc.).

  • Maintain an active information and referral system with other service providers and attend meetings as needed or directed by Corps Officers.

  • Maintain compliance with Easter Seals Contracts, Utah Food Bank (UFB) partner agency agreements, and Grocery Rescue Program requirements. Act as point person for all communications, agreements MOU/MOA’s with Easter Seals, UFB and Feeding America. All MOU/MOAs are to be submitted to the Corps Officer for approval before Divisional approval and/or signature is secured.

  • Prepare and submit reports and statistics in accordance with due dates.

  • Direct supervision of Social Service Aids, Delivery Drivers, Easter Seals Staff and Volunteers.

  • Oversight of Food Bank. Delegate as necessary:

  • Maintain an adequate supply of food.

  • Manage and rotate emergency food assistance supplies as needed in accordance with applicable health codes.

  • Maintain all refrigeration units in good operating order and cleanliness. Report all malfunctions and necessary repairs to the Corps Officer.

  • Coordinate all food box preparations for each day of distribution.

  • Pick up all food and material donations for the Social Services Program as required per donor(s). All donations are to be properly documented and brought immediately to the Social Services Building.

  • Directing and unloading of all deliveries.

  • Manage safety while deliveries are being made by large trucks to ensure proper safety precautions are in place and that no unauthorized personnel are in unloading areas.

  • Maintain all vehicles assigned to Social Services in good operating order and cleanliness. All general maintenance schedules are to be completed every six months or as needed to include proper maintenance for cold weather operations. Report all necessary repairs to the Corps Officer.

  • Maintain cleanliness, janitorial needs and maintenance of the entire Social Service facility to include the surrounding properties daily.

  • Conduct a weekly property inspection of the entire Social Service facility and surrounding properties to determine needs and maintenance schedule.

  • All proper safety equipment to include safety harnesses for lifting, hand trucks and other devices are to be maintained in proper working order and inspected before use. Items not in good working order are not to be used and immediately reported to the Corps Officer.

  • Coordinate with Ogden City Justice Court Community Service Office as needed. Complete all forms as required.

  • Volunteer recruitment, training (proper lifting, cleaning work areas, food rotation and proper cleaning and storage of perishable foods) and supervision. Maintain a record of volunteer hours and report monthly.

  • Handle incoming mail per Salvation Army policy.

  • Maintain all filing systems – both hard copies and computer files – as they pertain to Social Services. This is to include but is not limited to client files, employee information, networking information, address lists, Salvation Army policies and directives, property and vehicle information, program, and funding data.

  • Use methods of centralized bookkeeping to code and process invoices, receive and process income, and submit reports to Divisional Headquarters in a timely manner.

  • Issue receipts, maintain receipt file and complete reports for all in-kind donations.

  • Compilation and dissemination of Family Services information and reports to employees, Corps Officers, Divisional Headquarters, and other contacts as needed.

  • Maintain Protecting the Mission compliance and update records as needed.

  • Assist Corps Officer in hiring and training of new Social Service employees.

  • Attend staff meetings and trainings as required; including but not limited to Divisional/Territorial Social Services Conferences, Protecting the Mission – child safety training, and The Salvation Army fleet safety training.

  • Maintain office equipment and order/shop for supplies as needed.

  • Assist with seasonal efforts, which may include but are not limited to: Summer Camp Registrations, Back to School Events, Christmas Intake/Distribution, toy sorting, and data entry.

  • Adherence to employee dress codes at all times while working.

  • Other duties as assigned by Corps Officers.

Education, Experience, Skills, Qualifications

  • AA Degree with 3 years of Social Work or Management preferred.

  • Able to acquire Utah Food Hangler Permit.

  • Must possess the ability to lead a dynamic, high performing team and maintain confidentiality.

  • Must possess the willingness to accept and implement The Salvation Army’s philosophy for social work assistance, while supporting the mission of The Salvation Army.

  • Be flexible and open to new ideas, concepts, and ways of doing things while keeping pace with multiple priorities.

  • Possess the ability to work well independently and in a detailed, professional, and courteous manner.

  • Possess excellent oral and written communication skills.

  • Able to demonstrate a friendly, courteous demeanor with all clients, donors, community partners, direct reports, co-workers, volunteers and supervisors at all times.

  • Ability to use basic office machines/equipment.

  • Must be proficient with Microsoft Office (word, Excel, Publisher and Power Point) and possess the ability to use social media.

  • A working knowledge of integrated database applications and the ability to use new software programs with basic training.

  • Driving

  • Must be minimally 21 years of age and possessing a valid in-state Driver's License.

  • An MVR will be processed every year in accordance with The Salvation Army’s policies.

  • Background Check

  • Continued employment will be contingent upon a biennial (every two years) background check that is processed in accordance with The Salvation Army’s policies.

  • Ability to maneuver (walk, stand, bend, squat, climb, kneel and twist) on an intermittent or continuous basis.
