GENERAL PURPOSE

Under the direct supervision and guidance of the Development Director and the oversight of the Executive Director, perform duties related to database management, including gift and donor data entry, reporting, and analysis of donations through DonorPerfect.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Process all gifts and receipt acknowledgments including, but not limited to credit cards, checks, cash, online donations, and gifts-in-kind
  • Ensure data integrity through accurate database entry and ongoing database maintenance in DonorPerfect
  • Generate and track acknowledgment and tribute letters for all gifts
  • Manage donor segmentation, lists, and segment analytics using DonorPerfect
  • Coordinate with Marketing and Communications Specialist on the generation of all mailing lists; including renewals, invitations, mail merges, email and direct mail correspondence, ensuring accurate list management and reporting
  • Maintain all event and campaign-related data, ensuring accurate record-keeping and monthly reconciliations
  • Utilize DonorPerfect, Apricot, HMIS and other YCC data tracking systems to ensure accurate and timely reporting of key metrics as needed
  • Assist with event planning, preparation and execution, and processing of online payments and RSVPs
  • Help YCC maintain the trust of our donors, volunteers, and the public by ensuring adherence to accounting guidelines and processes regarding donation and payment processing
  • Reconcile development revenue with the Finance Manager on a monthly basis
  • Assist the Grant Writer & Finance Manager with assembling and submitting monthly, quarterly, semi-annual, annual, and ad hoc reports for public and private grants
  • Assist with grant and contract compliance and reporting requirements for funds received. Assist grant writer, center managers, and staff in grant request preparation, review, and editing process before submission to Executive Director for final authorization
  • Work closely with the Finance Manager on financial reporting and assist with any grant-related data tracking requirements
  • Work closely as a member of the Development Team to support events, organizational initiatives, and outreach
  • Adhere to all policies and procedures stated in the Employee Handbook and any applicable Policy and Procedure Manual

MARGINAL DUTIES & RESPONSIBILITIES

  • Perform other functions as necessary or as assigned.
  • Occasional evening and weekend work is required.

  • Interact and communicate professionally and effectively with all employees, management, executives, donors, vendors, service users, and community partners.

TRAINING & QUALIFICATIONS:

  • Bachelor's Degree and/or equivalent combination of education and experience.
  • Experience in gift and donor data entry, data management and reporting; experience in DonorPerfect preferred.
  • Experience in working with the Homeless Management Information System (HMIS) or specialized data entry and reporting through a central database preferre d.
  • At least one year's experience in administrative work, financial/bookkeeping support, donor database/CRM systems, or a similar role.
  • Technologically proficie t with intermediate skills in Google Suite and MS Office products: Word, Excel, PowerPoint.
  • Strong attention to detail and understanding that clean data is key to the success of development and fundraising initiatives.
  • Ability to review and analyze data to inform the creation and execution of data-driven strategic plans that generate strong outcomes.
  • Exceptional time-management, planning, and administrative skills.
  • Highly organized, self-directed, and able to work independently, while being flexible in a fast-paced, collaborative, and evolving environment.
