    Qualifications

    Essential Duties and Responsibilities

  • Responsible for hiring, training and coaching of Admissions Staff.

  • Establishes protocols for the Admissions Department.

  • Assesses prospective patients for treatment, identifying psychosocial, mental health and medical issues to determine if patient meets admission criteria for Black Bear Lodge.

  • Explains the evaluation and admission process to the potential patient/referral source and informs patient of necessary items to bring for treatment.

  • Documents all admissions information into the TIER, AS400 & MIDAS programs including demographics and all appropriate assessments.

  • Maintains daily census and provides assessment for appropriate admissions.

  • Ensures Admissions paperwork is complete and accurate. Maintains appropriate filing for Admissions paperwork.

  • Acts as role model by following program and treatment norms, demonstrating honesty and a willingness to listen to patients’ issues and taking responsibility for own actions.

  • Works collaboratively with the Utilization Review staff, Nursing Staff, Physicians, Business developement & Business office

  • Maintains professional relations and assures information is communicated effectively with staff as well as to patients, families and referral sources.

  • Attends staff meetings as indicated and treatment team meetings when necessary to monitor results.

  • Provide appropriate program education and promote benefits of treatment to callers inquiring about services.

  • Perform effective call management, telephone screening, and identification of patient needs.

  • Continuously monitor and follow up on referral inquiries.

  • Maintain comprehensive knowledge of Fort lauderdale Behavioral Health Center programs and services.

  • Understand insurance verification and benefit calculation process.

  • Conduct data analysis to identify trends and opportunities for operational improvement.

  • Collaborate with Patient Access staff to ensure that payer information is obtained and verified.

  • Insure all patient medical record information is completed and nursing and clinical staff are adequately apprised of the patient's condition/history.

  • Complete and review all administrative paperwork, including consent and releases, to insure that patients and staff are fully informed during the admissions process.

  • Supervise Admission Coordinators and ensure that they are trained and effective in converting viable calls into admissions to Black Bear and in providing referrals to appropriate providers as needed.

  • Ensure effective communication between Admissions Coordinators and the Business Office in problem solving, evaluating approaches, and ensuring financial and admission procedures.

  • Coordinate team schedules.

  • Facilitate team meetings.

  • Verify patient admissions and discharge boards are accurate daily (for all programs) and that all information has been entered into the database.

  • Update and answer all questions pertaining to bed availability.

  • Communicate admission information to respective leadership daily or as needed.

  • Provide sufficient information to allow prospective clients to make the decision to enter treatment and/or make appropriate referrals.

  • Coordinate elements of potential individualized treatment plan with caller and medical, clinical, and business staff.

  • Be available for departmental on-call needs.

  • Communicate potential referral opportunities to Business Development team.

  • Submit statistical information monthly or as needed to the Director of Performance Improvement.

  • Provide conflict resolution and follow up with concerns expressed by referral sources.

  • Attend Flash to present critical information regarding census, benefit time lines, and potential admissions.

  • Collaborate with staff to monitor discharges on daily basis along with projected discharges.

  • Performs all other duties as required or assigned.

    Education and Experience

  • Master’s degree in psychology, social work, or related field preferred; (Licensed LCSW, LMHC or RN)

  • Minimum of three (3) years’ experience as a supervisor in an admissions department, with strong operations experience.

  • Minimum 1 year of experience with substance use disordered patients or related mental health.

  • Familiar with 12-step programs.
