Shift: Shift 1

Work Schedule: 8 Hr (7:30:00 AM - 4:00:00 PM)

Summary:

Has excellent customer service skills when dealing with patients, physicians, other hospital departments and co-workers. Involved with chart pick-up and prepping for scanning. Exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures.

Required Job Qualifications:

• High School or equivalent.

• 3 months to 1 years of relevant work experience.

• Strong customer service skills required for effective interaction with physicians, patients and staff.

Preferred Job Qualifications:

• Knowledge of medical records.

• Alphabetical/numeric filing, general office experience and word processing.

Physical Demands:

• Sit for prolonged periods of time.

• Able to lift at least 50 lbs.

Responsibilities:

• Will answer the phone in a professional and timely manner.

• Will greet patients, physicians and other hospital employees when they arrive in the department.

• Process request for medical records from patients who walk-in into the department. If request is too large, will forward the request to the appropriate person in Release of Information.

• Check the fax machine for request for records and process them. This will be done periodically throughout the day.

• Will retrieve the mail from the mailroom and process accordingly.

• Assist HIM supervisor in retrieving and coping paper charts for various regulatory agencies.

• Maintain a phone log of all incoming phone calls.

• Perform a quality review of scanned documents in EPIC.

• Will notify the supervisor when office supplies need to be reorder.

Is responsible for the upkeep of the workroom.

• Verify patient’s medical record numbers and dates of encounters utilizing the EPIC system.

• Will generate a discharge report from the previous day. Will pick up patient’s discharge charts from all patient floor and ambulatory clinics and bring to the HIM department.

• Responsible for discharge chart preparation for scanning.

• Responsible for scanning, indexing and committing documents.

• Responsible for outpatient and ambulatory chart preparation for scanning.

• Maintains fourth floor inactive record file area. Is responsible for retrieval, refiling, chart tracking and monitoring for misfiled medical records.

• Complete other duties (within scope of classification) as assigned by supervisor.
