NORTHAMPTON/HYBRID WORK FROM HOME \$5,000 SIGN ON BONUS Data & Planning Assistant POSITION SUMMARY Help us support children and families! Join a dynamic department with the Director of Data, Planning, & Evaluation and the Data & Planning Coordinator. As a team, we support Head Start & Early Learning Programs in ensuring the program is adhering to regulations, supporting staff with their data and technology skills, and always pursuing continuous quality improvement. This is an opportunity to play an essential role in supporting program excellence and implementing the strategic vision of a large early childhood education program. The Assistant provides essential administrative, organizational, and clerical assistance to the Data and Planning Department and the program at large. The Assistant becomes an expert user of our family and staff database (GoEngage) and helps maintain accurate staff and program data; monitors attendance data entry by educators; and runs reports on data to support program operations. They also provide technical assistance and support to users of the data system, including new user training as needed. The role may involve other data, planning, and monitoring tasks as we assess how best our team can serve the program and the children and families enrolled. MINIMUM QUALIFICATIONS High school diploma or High School Equivalency One year of experience in a related office or administrative role SKILLS REQUIRED Curious and analytical thinker with a passion for improving systems and making a meaningful contribution to an early childhood education program that serves low-income infants, toddlers, and preschoolers and their families. Experience training adults in small groups and patient, friendly demeanor providing one-on-one support. Understanding the importance of capturing quality data and the ability to track it. Ability to work both independently and collaboratively with others. Excellent organizational and time management skills with attention to detail and a high level of accuracy. Ability to prioritize tasks across different projects and complete them within a timely manner. ESSENTIAL RESPONSIBILITIES Database Entry, Monitoring, and Reporting Ongoing tracking of program and staff data, including maintenance of staff directories and tracking spreadsheets. Run regular reports to monitor data, including daily and monthly attendance, and follow up with educators as needed. Assist with data preparation (compiling and organizing data) for reports on an as needed basis. Technical Support to Staff Key point person in maintaining and providing technical assistance and training to staff on family communication system/s. Respond to requests and assist with providing technical assistance and training to staff on the data system. Help create and maintain procedures manual and other instructional guides. Support staff access to library of laptops and devices, including periodic updates to computer software. Collaboration with Data & Planning Team Work independently and collaboratively with other staff members. Attend regularly scheduled supervision meetings, team meetings, mandatory agency trainings, and participate in professional development activities. Remote work available complying with the agency\'s policy. Professional Expectations Comply with agency and funders\' paperwork requirements and procedures. Adhere to agency standards of conduct and confidentiality policies. Excellent analytical, communication, and computer skills (Microsoft Word, Excel, and PowerPoint). Familiarity with Power BI or similar software is desirable, but training is available. Sensitivity to racial, cultural, gender, sexuality and socioeconomic diversity and the needs of individuals with low incomes.
