Description We are offering a contract employment opportunity for an Administrative Assistant to join our team in New York. This role will primarily revolve around providing secretarial and administrative support, with a particular focus on calendar management, meeting arrangements, and travel coordination. You will be working in the Cash Equities industry, and your responsibilities will also extend to roadshow planning and logistics.

Responsibilities:

• Manage calendars, schedule meetings, and book meeting rooms as required

• Coordinate travel arrangements, including booking travel tickets and settlement of related expenses

• Actively participate in the go-live on the expense management system and accurately process expenses

• Identify and escalate any expenses not in line with policies promptly

• Improve efficiency in travel arrangements with the aim of reducing overall travel-related costs

• Serve as a representative in Client interactions

• Optimize internal meeting logistics, including catering and room bookings

• Ensure compliance with info barriers policy when working with MNPI, including visibility to banker calendars and requests for guest access to restricted space

• Participate in broader CIB Executive Assistant Rotations, including reception desk staffing

• Perform other administrative/clerical duties as assigned. Requirements • Prior experience in an administrative assistant role or similar

• Proficiency in customer service and ability to interact professionally with clients

• Proven experience in planning and organizing office activities

• Familiarity with policies and procedures related to administrative tasks

• Experience in handling cash activity and maintaining financial records

• Knowledge of logistics and ability to manage office supplies and equipment

• Experience in receptionist duties and clerical duties

• Proficiency in calendar management and scheduling appointments

• Experience in expense reporting and managing travel arrangements for staff

• Ability to optimize office operations for efficiency

• Experience in staffing, including recruitment and onboarding

• Strong time management skills and ability to meet deadlines

• Experience in supporting C-Suite executives

• Knowledge of compliance requirements in an office setting

• Experience in making reservations and arranging catering for office events

• Familiarity with settlements and understanding of equities

• Knowledge of management systems and experience in using Concur

• Ability to schedule meetings and manage office calendar

• Willingness to continuously improve efficiency in office operations.
