Vanderbilt University Development Coordinator, Engineering in Nashville, Tennessee

Reporting to and in consultation with the Senior Director and Associate Dean of Development, the Development Coordinator serves as a project manager, communication liaison and implements the programmatic vision for School of Engineering development office. In doing so, this position makes it possible for School of Engineering development gift officers to focus their time and attention on prospect management and the successful solicitation and closure of major philanthropic commitments.

The Department of Development and Alumni Relations (DAR) assists Vanderbilt University in securing the resources, both human and financial, that are required to achieve its mission and goals. The Department is responsible for the identification, cultivation, solicitation, and stewardship of individuals and organizations whose charitable objectives are consistent with those of Vanderbilt University’s teaching and research programs.

Duties and Responsibilities

  • Coordinate and prioritize projects in support of major gift and annual fundraising, alumni relations, public relations, and communications goals; primary emphasis on stewardship, special events, reporting and analysis, and gift processing.

  • Assist with the Academy of Distinguished Alumni and Circle of Friends event process including; call for nominations, coordination of the induction ceremony, writing copy for program and invitations, invitations lists, and gifts for honorees, etc.

  • Plan and execute cultivation and stewardship events on campus and around the country. This includes overseeing logistics and budget for Homecoming and Reunion events, donor society dinners, and regional events as well as meetings between donors and fund recipients. Travel to regional events when needed.

  • Provide stewardship information on donors with endowed funds when requested by development officer to assist with proper stewardship of donors.

  • Implement mass outreach to donors and alumni on behalf of the Associate Dean.

  • Collect reports regarding giving trends, portfolio management, and other special projects using the donor database to compile an in-depth data analysis which will systematically prepare DAR leadership for donor visits

  • Run and compile bi-weekly download for acknowledgment of gifts from the dean and associate dean, and prepare for mailing on all gifts annual gifts.

  • Run BPI reports periodically for all School of Engineering development officers.

  • Participate in and contribute significantly to the development and implementation of the department/school’s long-term development goals and strategic plan.

  • Maintain library of development materials for use by development officers; articles, social media, LinkedIn.

  • Serve as liaison to DAR’s Annual Giving Office; coordinate messaging, reporting, and follow-up for the School of Engineering annual giving efforts.

  • Serve as liaison to DAR’s Office of Stewardship; implement and coordinate a broad-based strategy of donor recognition, stewardship and donor communications.

  • Serve as liaison to DAR’s Gift and Donor Services to ensure gifts and pledges are accurately reflected in the donor database, manage active pledges and ensure appropriate outreach and follow up.

  • Serve as primary DAR contact for Vanderbilt offices requesting School of Engineering alumni information or reports.

  • Uphold departmental and institutional policies regarding confidential information.

  • Supervise student worker, prioritize daily work assignments.

  • Perform other duties and special projects as assigned.

Supervisory Relationships: This position does not have supervisory responsibility; this position reports administratively and functionally to the Senior Director of Development, School of Engineering.

Qualifications

  • Associate’s degree, or the equivalent, is necessary

  • One year of relevant experience is preferred.

  • Must possess strong organizational skills, attention to details, ability to interact with a wide demographic of constituents, be goal oriented.

  • Proven ability to work independently and collaboratively in a team environment.

  • Strong oral and written communication skills

  • Proven ability to work with large amounts of data and provide recommendations based on analytics

  • Proficiency in Microsoft Word, PowerPoint and Excel

  • Candidates with communications, data analytics, event planning, and development and/or alumni relations experience in an academic setting are preferred.

  • Ability to work independently, take initiative, manage multiple projects simultaneously, meet deadlines, and adapt to changing priorities are essential
