Robert Half Administrative Services Assistant in Nashville, Tennessee

Description

We are offering a role for an Administrative Assistant in the healthcare sector, located in Nashville, Tennessee. This role provides key support to the Healthcare-Associated Infections and Antimicrobial Resistance (HAI/AR) Program, handling a variety of tasks including document organization, meeting scheduling, and inventory management. This position offers a short-term contract employment opportunity.

Responsibilities:

• Act as a point of contact for healthcare facilities seeking information on patient status

• Maintain and update patient status using the internal database, ensuring accuracy and efficiency

• Develop user documentation for all created systems and upon request

• Serve as a liaison between the HAI/AR Team and the CEDEP Business and Grants Management Team

• Manage travel requests and authorizations for HAI/AR Team

• Conduct inventory management and control

• Assist with the hiring and onboarding of new HAI/AR staff

• Maintain public-facing HAI/AR web pages, ensuring up-to-date and accurate information

• Process and distribute HAI/AR laboratory reports in a timely manner

• Handle emails from external partners and the public, providing prompt and appropriate responses

• Take and distribute meeting notes and minutes, ensuring all team members are up-to-date

• Assist with data collection, entry, and formatting, as well as technical editing

• Provide support to additional HAI/AR projects as required

Requirements • Proficiency in documentation, database management, and workstation support

• Experience in hiring processes, onboarding new employees, and managing websites

• Ability to maintain facilities and act as a liaison between different teams or departments

• Experience in handling travel arrangements and managing financial notes

• Familiarity with HealthCare.gov, authorizations, and grant management

• Strong editing skills and ability to schedule meetings efficiently

• Experience in data collection, tracking systems, and working with external partners

• Knowledge of law practice and ability to conduct site visits

• Ability to distribute meeting minutes and possess a Professional in Human Resources (PHR) certification

• Proficiency in creating user documentation and managing cooperative agreements

• Experience with Electro-Optical/Infrared (EO/IR) systems
