POSITION SUMMARY:\ The Deputy City Clerk provides complex and specialized professional, supervisory, operational, administrative, and technical work for the City Clerks Office. This position serves as the operational lead for the front office and provides supervision of the daily customer service operations of the City Clerks Office. The Deputy City Clerk attends regular meetings outside of normal business hours and is the City Clerks designee in their absence.\ \ WHAT YOU WILL DO\ ESSENTIAL FUNCTIONS:\ Acts as the Clerk of the Planning & Zoning Commission and coordinates the preparation of the meeting agendas and minutes and attends meetings to provide technical support and record and document the proceedings.\ Attends City Council or other board and commission meetings, as needed, in a support or clerk role, which may include assisting public attendees or recording and documenting the proceedings.\ Assists and provides direction in preparing meeting notifications, agendas, minutes, codes, and related documents.\ Assists with workflow and customer service levels for the City Clerks Office and ensures staff are provided the necessary training resources to achieve premier service to internal and external customers.\ Assists the City Clerk in the development and implementation of the City Clerks strategic goals, objectives, priorities, policies, procedures, and work plan, ensuring that the established goals and priorities are achieved.\ Provide direction to City employees and the public on various software programs managed by the City Clerks Office to support department requirements and meeting management.\ Manages meeting management software and coordinates with the selected vendor to support department requirements and meeting management of the Citys boards and commissions.\ Establishes and manages positive working relationships with representatives of community organizations, state/local agencies, City management and staff, Mayor, City Council, professional organizations, and the public.\ Provides information to the public or City employees that require interpretation of City policies, codes, rules, or procedures.\ Under the direction of the City Clerk, processes and/or reviews documents to ensure compliance with state and local regulations.\ Assists the City Clerk in enforcing business licenses identified in the Citys Code of Ordinances.\ Assumes the City Clerks job responsibilities in their absence.\ Monitors and updates the departments website.\ Participates in the administration of the department budget, including coordinating payment of monthly bills received by the department.\ Prepares departments daily deposits.\ Ability to manage multiple projects with accuracy and work effectively with frequent interruptions in a team environment.\ Ability to communicate and interact with the public and co-workers in a professional, empathetic, and positive manner.\ \ ADDITIONAL FUNCTIONS:\ Assists with the processing of passport applications on behalf of the U.S. Department of State, including maintaining passport records and acting as an agent for the U.S. Department of State to monitor applications for possible cases of fraud, terrorism, or identity theft and report instances to the U.S. Department of State.\ Ensures regulatory compliance with the Idaho Open Meeting Law.\ Assists with the fulfillment of public records requests, ensuring compliance with the Idaho Public Records Law as needed\ Issues City permits and licenses on behalf of the City.\ Serves as a otary Public.\ May attend meetings, conferences, workshops, and training sessions and review publications and audio-visual materials to become and remain current on principles, practices, and new developments in assigned work areas.\ May perform other duties as assigned.\ \ WHAT YOU WILL BRING\ REQUIRED EDUCATION, EXPERIENCE, & LICENSE/CERTIFICATIONS:\ High School Graduate or General Education Degree (GED): Required.\ Associate/Bachelors Degree in Public Administration or a closely related field: Preferred.\ 3 plus years of progressively responsible experience in records management, municipal administration, or any combination of experience and training which provides the equivalent scope of knowledge, skills, and abilities necessary to perform the work.\ 3 plus years of supervisory or leadership experience preferred.\ Thorough knowledge of the functions and procedures of municipal government with knowledge of the City Clerk\'s Office, including the Idaho Open Meeting Law: Preferred.\ Ability to become and remain a Notary Public for the State of
