Description
The Health Sciences Administrator is responsible for overall division assistance. Maintaining student and faculty files in the Health Sciences Division in accordance with accreditation requirements of all programs is essential (primarily involves nursing student files). In addition, sending adjunct faculty letters of agreement, filing contracts, uploading digital files for faculty and students, and assisting with accreditation of programs are primary functions.
The assistant will also have a primary role in preparing documents for program accreditation for all division programs. This includes scheduling meetings, reserving rooms and assisting as needed with the accreditation visitors.
The assistant is responsible to provide secretarial support to the nursing program, radiography program, ultrasound program, dental hygiene program, health information management program. A major part of this is assisting the nursing program, as this is our largest program. Assisting with special events and advising students may be included in duties. Assisting with collegewide events and providing assistance to new student programs may be required.
The assistant works closely with the division coordinator as well as the office of clinical education and workforce development to ensure a smooth transition into each semester. The assistant of health sciences is a full time 12-month position.
Specific Duties and Responsibilities
Schedules rooms for courses and special events as needed.
Maintains data in coordination with the dean for accreditation
Assist in monitoring emails for the healthsciences@rcbc.edu account and others as
needed.
Attend monthly meetings and take minutes.
Answer general questions from potential students via phone or in person or in emails
Assist the adjunct coordinator with on boarding adjunct faculty and file all adjunct
agreements in appropriate digital files or hard copy if required by program accreditation.
Make certain all adjunct faculty files contain necessary information (transcripts, most
recent three years of evaluations, educational plan, evaluations etc)
Make certain all nursing student files contain clinical evaluation for each course,
significant letters related to course failures etc, admission criteria and admission rubric,
counseling notes etc.
Format accreditation reports as needed for all programs and assist in submission
Assist with monitoring web sites to keep dates updated and admission application links
open/closed at appropriate times
Assist in setting up employers that want to come and recruit before and after class at
tabling events.
Assist with summer visits from organizations that run events for students interested in
health sciences
Assist with “take your child to work day’ and other events run by the division
If needed, assist with or run information sessions either online or in person for different
healthcare careers
Assist faculty with events in the health science area and for the new student initiatives as
needed.
Maintain professional manner with all students and prospective students
Other duties as required, such as assisting with events, attending recruitment events put
on by the college, typing and formatting documents, assisting to monitor the door and
assist students with appointments to see faculty or staff are all possible additional duties.
With guidance, this position may assist with advising students interested in specific
programs working synergistically with advising and recruitment in the college.

Minimum Qualifications
Education Required:
Bachelor’s degree
Experience Required:
Administrative experience, with appropriate skills for management and organization. Experience
with students in higher education is a plus. Excellent communication, interpersonal, presentation
and digital skills is a must.
Experience Preferred:
Excellent oral and written communication, interpersonal, analytical and organizational skills
Computer based skills, educational technology, experience with spreadsheets and databases and web design
Excellent “customer service” skills
Experience with new college students and ESL/international students.
- Experience in one of the professions taught in the division is a plus. Will consider person
with associate degree in one of the areas taught in the college.
Additional Information
INSTITUTIONAL EFFECTIVENESS:
Accepts responsibility for the timely preparation of files, records, and department data. Assists
directors in the organization and collection of data for the programs and for accreditation.
Responsible for the day to day operation of the front office of the health science division.
