Department Overview The mission of the Medical Education Department of Children's Hospitals and Clinics of Minnesota is to improve the health of children by providing high quality pediatric education programs to medical students, to physicians in training and in clinical practice, and other health professionals. Position Summary Under minimal supervision, carries out general office and administrative tasks such as phone work, greeting and directing visitors, maintaining calendars and making meeting arrangements, handling various forms of mail (i.e., paper, email, overnight express, fax), making travel arrangements, ordering office supplies and furnishings, arranging for equipment repairs, maintaining filing systems and/or computerized record keeping systems or databases, and completing standardized forms. Prepares a wide variety of documents which may include imbedded charts, graphs, or tables and may be converted to HTML format and posted on the web. May perform administrative projects or procedural assignment to support the functional area. The position supports the Chief Education office, Director of Graduate Medical Education, and Director of Education Operations, and will include managing schedules and appointments, project and presentation work, and document preparation. The position provides excellent customer service to patients, staff, families, staff, and visitors, both in-person and by phone. Qualifications: Bachelor's degree preferred. Minimum of 5 years administrative experience and computer proficiency. Working knowledge of word processing, spreadsheets, and presentation design required; advanced Word, Excel and PowerPoint experience preferred, including MS365 online versions. Familiarity with cloud-based document sharing and teaming software, web-streaming meeting platforms, and skill adapting to technology-driven business solutions a must. License/Certification/Registration required? No Education: BA preferred Required? No If so, why? Experience: * Minimum of 5 years administrative experience and proficiency with computer-based work. * Experience supporting a dynamic team with multiple priorities and leaders. * Experience in a medical setting desirable. * Knowledge of Medical Education (residency programs, medical school, etc.) a plus. Knowledge/Skills/Abilities: * Working knowledge of office operations desirable. * Advanced PowerPoint, Word and Excel experience required, including online versions. * Fluency with internet use for research, online tools, development of resources, etc. * Very strong attention to detail, and well-developed organizational skills. *Ability to work efficiently and independently in a fast-paced and demanding environment. *Ability to foster collaborative relationships and provide friendly customer service required.
