The Anesthesiology Education and Administrative Coordinator will serve two primary functions as a core part of the Education Office team: coordinate and assist with all departmental education activities and programs, and serve as the administrative support for the Department of Anesthesiology Education Faculty leadership. This position reports to the Residency Program Administrator in the Department of Anesthesiology, and works closely with the Department Education Coordinator, Program Administrators, the Undergraduate Medical Education Coordinator, and the Education Faculty leadership team. This is a hybrid position, with 2 days remote and 3 days on-site per week. Major Responsibilities: 60% Education Coordinator * Act as a first point of contact for the Education Office. Flexibly prioritize and triage requests for the Education Office and effectively coordinate responses to ensure timely and accurate information is disseminated both internally and externally. * Represent the Education Office as a welcoming resource for our trainees and faculty as well as outside entities requesting information from the Education Office. * Use problem-solving skills to conceptualize, recommend, and implement administrative and communications processes to improve and support the Education Office's work. * Own the Education Office Google Drive. Develop and implement organizational systems for information and data requests, expenses and spending, program data keeping, program compliance, and program accreditation requirements. * Own and maintain organization of the Education Office's responsibilities for the Anesthesiology Department's Tuesday Morning Conferences and for visiting professorships. * Maintain the Education Office team's calendar of education events and communicate event details to appropriate individuals. * Partner with Faculty to organize and prepare workshops, conferences, and education events. At times, support for these events will be needed outside of normal business hours, however ample notification will be provided in these instances. * Manage all purchasing and ChromeRiver processes for the Education Office programs and Faculty leadership. * Collaborate with the Education Office team on special projects and ad hoc tasks to improve the learning experience of our trainees. 40% Administrative Coordinator: * Serve as the Administrative partner for five Education Faculty within the Department of Anesthesiology. * Provide general administrative support including, but not limited to, scheduling/calendaring, taking meeting minutes, coordinating travel arrangements, and drafting correspondence. * Lead miscellaneous special projects for the Education Faculty leadership team. * Compose, edit, and distribute communications on behalf of the Education Office and Education Faculty leadership. * Effectively navigate hospital and University scheduling systems (Qgenda and Google Calendar) to view and interpret complex Faculty schedules. * Maintain current and complete records and documentation for each Faculty as required by numerous governing institutions. * Provide back-up support for Tuesday Morning Conferences, which require beginning the workday at 6:00am. This will not be a regularly scheduled duty in this role, however support may be necessary at times. Qualifications Qualifications Required Qualifications: (Must be documented on all application materials) * BA/BS or a combination of related education and work experience to equal four years * Strong ability to utilize Google apps, especially Drive, Gmail, and Calendar, for organizational and shared project purposes * Comfortable scheduling and runn ng Zoom meetings * Ability to multitask and prioritize effectively to meet deadlines * Interpersonal skills, including the ability to communicate in an effective, professional manner (both written and verbal) * Proven attention to detail * Ability to work comfortably in a dynamic, growth-oriented team * Ability to work hours outside the normal work day on occasion as needed for event and conference support Preferred Qualifications: * Experience working in a healthcare or academic setting * Enthusiastic and knowledgeable about technology and leveraging it as a tool for organization and program improvement * Training in and knowledge of University of Minnesota systems, policies and procedures including EFS, ChromeRiver, Qualtrics, Tableau, etc. * Ability to make patient care and trainee needs a priority within the work day Benefits Working at the University At the University of Minnesota, you'll find a flexible work environment and supportive colleagues who are interested in lifelong learning.
