MARQUETTE UNIVERSITY Advancement Associate, Donor Relations in MILWAUKEE, Wisconsin

JOB REQUIREMENTS: Position Overview The Advancement Associate leads the Donor Relations acknowledgement program, supports the Donor Relations team on key initiatives and projects to demonstrate philanthropic impact and elevate stewardship efforts and provides administrative support to the team as needed. This position has the opportunity to work in a hybrid work arrangement, with time worked both on campus as well as remotely. Duties and Responsibilities 1. Acknowledgements a. Manage the gift receipt acknowledgement process, including regular template updates and weekly receipt production and mailing. b. Lead production of bi-weekly honor/memorial acknowledgements and yearly Alumni Award honor acknowledgements. c. Respond to internal and external honor/memorial and other gift acknowledgement questions using strong customer service skills. Assist with the presidential acknowledgement process, including printing, packaging, delivering to president\'s office and making any necessary edits. 2. Donor Stewardship Communication Strategy a. Assist with all broad-based or targeted Donor Relations ThankView video campaigns. b. Manage ongoing ThankView birthday video process and annual update of the birthday video. c. Partner with Donor Relations Assistant Director on all giving society recognition, stewardship efforts and communication strategy, including welcome letters and gifts. In conjunction with the DR team, develop creative content for and manage execution of stewardship communication initiatives. 3. DONOR RELATIONS AND STEWARDSHIP INITIATIVES a. Partner with Donor Relations Assistant Director and the Engagement team on the annual Scholarship Celebration Dinner, including matching student scholarship recipients with their benefactors, setting up alternative meeting times, or attaining stewardship pieces from scholarship recipients. b. Collaborate with Donor Relations teammates on scholarship thank-you program and the annual impact reporting processes, including proofreading student thank-you letters, writing and editing faculty impact reports, updating scholarship thank-you copy, packaging, manual edits, and mailing. c. Partner with Donor Relations teammates on capital project donor recognition and stewardship efforts. Conduct benchmarking of donor relations best practices with peer institutions and industry trends. 4. DONOR RELATIONS TEAM SUPPORT a. Lead annual budget planning for Donor Relations. b. Manage budget tracking and purchase orders. c. Facilitate vendor relationships and regular communication. d. Coordinate professional development opportunities for the Donor Relations team, such as webinars, conferences, and trainings. e. Hire, train, and supervise student workers. Approve electronic timesheets and other necessary documents. 5. OTHER STANDARD UNIVERSITY ADVANCEMENT TASKS a. Communicate with volunteers, donors, friends, students, and other departments throughout the University by responding to various questions and requests for information using strong customer service skills. b. Coordinate travel for teammates when necessary. c. Organize calendar and meeting scheduling using Microsoft Outlook. d. Maintain relevant department records and retrieve data from the database system. e. Proofread and edit documents as needed. f. Prepare reports, correspondence, and other necessary documents. 6. A minimum of 3 years of related experience. Solid knowle ge of grammar and strong written and verbal skills. Ability to multi-task and pay attention to detail. Strong customer service skills with the ability to problem solve. Familiarity with a business environment and procedures. Ability to work under deadlines and prioritize work; work efficiently in a team-oriented setting. Complete tasks with minimal supervision. Experience in Microsoft Word, Excel, Outlook and PowerPoint Preferred Knowledge, Skills and Abilities Bachelor\'s degree.
