The Service and Logistic Coordinator will support the Site Manager in creating a professional workplace experience and delivery of FM services. They will interface with stakeholders across the organization to ensure timely and effective delivery of service.

The role will respond to a wide variety of on-site requests, providing proactive, knowledgeable, engaged service, while creatively exceeding expectations.

This role assists with the workplace daily operations (helpdesk, mailroom, supplier co-ordination, room set up and technical support) to ensure quality and service continuation onsite.

The Experience and Services Coordinator role is to deliver a seamless journey for each person when visiting an office.

RESPONSIBILITIES (Key deliverables of the role)

Customer Focus

  • Work with the Site Manager to anticipate and resolve obstacles in the work environment.

  • Implements and monitors standards of service to meet and exceed expectations and looks for opportunities to improve efficiencies across hospitality operations and expenditures.

  • Consistently creating new opportunities to ensure the service offer on site

  • Familiar with all services within the facility and works with facilities management and all other service teams to facilitate hospitality approach across all services.

Day-to-day Facilities Management

  • Carry out site floor walks and workplace inspections to ensure the office environment is maintained to safe and welcoming standard.

  • Ensure all kitchens and refreshment provisions are clean and available on site, working with supply partners on any issues or faults.

· Supporting the CBRE Site Manager with CBRE EHS processes and procedures for the site including reporting all near misses, incidents and accidents, delivering permit to work system for facilities and event suppliers and escalating any EHS concerns to the Site Manager.

  • Maintains relationships with vendors ensuring all necessary documentation is in place.

  • Issuing and tracking entry/access cards, keys, and lockers for employees.

  • Must be able to demonstrate a sound knowledge of all systems within the building services environment.

  • Provide effective feedback to the Site Manager in case of breakdowns, takes responsibility for defects and follow up on any repairs. Host & induct specialist sub-contractors, and ensure they confirm to site requirements.

  • Manage vendor relationships and train vendors on work order and billing procedures with Site Manager.

  • Ensure that all Health & Safety and Environmental requirements are in place at site/s within remit.

  • Collecting all documents from the new vendor for CBRE vendor onboarding process.

  • Coordinating the delivery of welcoming packs and onboarding for new hires.

  • Issuing and tracking entry/access cards, keys, and lockers for employees.

  • Support our logistics team member with tracking, reporting and duly execution of the Mailroom process

  • Respond to client requests by executing the reactive tasks via postage/courier services and delivery of packages.

  • Support our logistics team member when required

  • Acts as a backup during the absence of one team member.
