Location: Middletown, NY

Pay Rate: $18.00 per hour

Hours: Monday-Friday 8:30AM-5:00PM (40hrs)

OVERVIEW OF PRIMARY RESPONSIBILITES :

In this r ole, the Administrative Assistant will have good communication skills and the ability to independently manage projects with limited supervision. The Administrative Assistant will provide support to the team, ensuring tha t all programmatic needs is met, will have or develop an understanding of the OPWDD Incident Management system and reporting and inputting requirement program profiles into the IRMA and Choices databases for our consumers. They are responsible for inputting and coordinating of the paperwork such as intakes, completing DDP2 is, using IRMA, Choices, eVero and Daily Manage ment System Dashboards. The Administrative Assistant will collaborate with internal and external providers/stakeholders.

The Administrative Assistant also has various monthly reports and spreadsheets with accompanying deadlines. The Administrative Assistant will have strong problem-solving skills and the ability to follow governing program regulations, while collecting data and direction from various sources

PRIMARY FUNCTIONS :

  • Attend meetings, take notes and minutes and record action plans

  • Run reports, type and prepare spreadsheets as needed, manage daily emails and phone calls.

  • Access OPWDD website for documents and have an understanding of regulations for OPWDD.

  • Preparation and setup of meetings and accom panying documents.

  • Manage daily programs and databases to be able to assist with and work on a daily basis entering interpreting and monitoring data

  • Assist with Internal and External Audits

  • Be an energetic, outgoing, creative, and personable individual.

  • Possess excellent administrative and clerical skills be able to multi-task.

  • Possess excellent phone etiquette, able to manage multiple calendars, coordinate scheduling.

  • Possess excellent computer skills. (Must be proficient with Microsoft Suite)

  • Able to complete other assignments as needed.

  • Flexible calm and effective under pressure.

    ADDITIONAL FUNC TIONAL / ORGANIZATIONAL SUPPORT :

    QUALIFICATIONS AND ATTRIBUTES :

    Possess strong computer skills (MS Office Suite, Excel, Word, Outlook and PowerPoint).

    Be a fast learner

    H . S. Diploma Required

    Ability to assist in the development of reports

    EDUCATION AND EXPERIENCE : minimum 1-year experience
