POSITION SUMMARY: The Program Management Coordinator will be responsible for tracking and updating annual budget information, managing IPT schedules, coordinating contractor/subcontractor conferences, and overseeing various program updates. This role will provide critical support to the Program Manager and Director, ensuring smooth operation and successful completion of projects. KEY RESPONSIBILITIES: Track and update annual budget information Coordinate cost and hour reports Create, track, and coordinate Contract Funds Status Reports Track and coordinate Integrated Program Management Data and Analysis Reports Aggregate, track, and coordinate Monthly Status Reports Schedule and coordinate IPT meetings Develop and distribute meeting minutes after routing through the QA process Track and coordinate presentation materials for multiple IPTs Maintain program artifacts and file directories Orchestrate ONEIL hosted client events Aggregate and manage a comprehensive list of required certifications, credentials, and clearances Advise Program Manager and Director on required inputs and updates Maintain internal and external client SharePoint sites Ensure all program-related documents and directories are up-to-date Other duties as assigned WORKING ENVIRONMENT: General office environment; required to use office equipment (personal computer, telephone/smartphone, photocopier); required to sit/stand for long periods of time May be required (on short notice) to work overtime/additional hours to meet deadlines; may occasionally require working weekends and/or holidays, as needed May be required to travel by motor vehicle and/or airplane to customer's location and/or with customer to an alternate location to complete job requirements; estimated to be 25 percent or less MINIMUM QUALIFICATIONS: Education: Bachelor of Science (BS) or Arts (BA) degree in a technical field, business administration, organizational leadership, or related field, or equivalent work experience is required Master of Business Administration (MBA) or related master's degree is preferred Experience: Minimum of three to four (3-4) years of experience leading projects in the Department of Defense (DoD), commercial, or aerospace sector is required Minimum of two (2) years of experience in aerospace, commercial, or DoD industry is required Minimum of one (1) year of management experience is required; management experience in technical publications or related industry is preferred Technical Experience: Intermediate level of proficiency with Microsoft Word, Microsoft Excel, and Microsoft Project is required Basic level of proficiency with Microsoft PowerPoint is preferred Certification/Licensure: Project Management Professional Certification is preferred Government/Military Common Access Card (CAC) to work on assigned contracts and/or projects may be required Secret clearance issued by the DoD may be required; Valid driver's license in state of residency with acceptable driving record is preferred ONEIL is an equal opportunity employer and prohibits discrimination and harassment of any kind.
