The position purpose is to perform administrative support duties for the District 4700 Office. This position performs the administrative duties for the Mandatory Inspection Program (MIP) to include updating inspectors in the data base, issue decals and create correspondence to inspectors. This position enters data into SPAIS program and verifies data from e-citations and e-warnings. This position processes requests for office supplies, uniforms and equipment. This position is not limited to only SPAIS, M-5 Fleet, and MIP but includes typing, maintaining files, answering telephones and data entry.

Minimum Qualifications

  • Knowledge of communications sufficient to effectively gather and present information in one-on-one and group interaction, to customers, clients and other employees.

  • Skills in customer service sufficient to respond effectively to clients, coworkers, and customers when handling difficult or complex problems and resolving escalated complaints or disputes.

  • Skill in typing/keyboarding, using Microsoft Word or equivalent software, sufficient to produce documents such as emails and other correspondence in an effective and timely manner.

  • Skill in database management sufficient to set up and run basic queries, review, and analyze data, and identify problem areas in areas which may include data, formulas, or security.

  • Skill in data entry sufficient to maintain accurate records and reports

  • Skill in using spreadsheet applications such as Microsoft Word or Google Sheets to enter, compile, store, and retrieve data.

Preferred Qualifications

  • Knowledge of Minnesota's data practices law, with the ability to process data requests.

  • Knowledge of SWIFT program.

  • Basic knowledge of regulations governing the commercial motor vehicle industry.

Physical Requirements

Light: Requires occasionally moving and transporting such articles as file boxes and heavy hand tools or heavier materials with help from others, and moving and transporting light objects frequently. Even though the weights being moved and transported may be a negligible amount, a job in this category may require positioning self to move to a significant degree or may involve maintaining a stationary position for extended periods.
