UPMC Medical Records Coord (Latterman Family Health Center, McKeesport) in Mckeesport, Pennsylvania

UPMC Latterman Family Health Center is hiring a Casual Medical Records Coordinator to join their team in McKeesport, PA. This is a weekday, daylight position working 2 to 3 days a week from 8am to 4:30pm. No evening or weekend hours. This position will obtain medical records and releases, scanning, faxing, answering phones, scheduling appointments, and other clerical duties as assigned.

Free parking is available, and this location is close to the bus stop.

Purpose:

Under the direct supervision of the Director of Operations, coordinate, supervise and monitor the daily activities of the medical records department.

Responsibilities:

  • Monitor the daily activities of assigned staff, providing guidance and leadership and promote methods of improvement as indicated.

  • Ensures the access and availability of medical records for continuity of patient care.

  • Maintain the confidentiality, security, and physical safety of patient's medical records.

  • Ensure that medical records and or copies are immediately available upon request for billing, compliance, coding and auditing personnel in order to avoid charge lag or penalties.

  • Assist in the development, writing, and implementation of policies and procedures that increase the efficiency and effectiveness of medical records processing.

  • Ensure that release of information requests are handled following established confidentiality guidelines.

  • Assure that all subpoenas, court orders, Medicare request etc are received and responded to according to policy and procedures and established deadlines.

  • Coordinate distribution and prioritization of work to staff to assure the timely completion of daily schedules.

  • Coordinate and maintain all secures medical records and ensure all correspondence; testing and chart notes are filed according to policy and procedures.

  • Ensure the security and safekeeping of medical records allowing access only to authorized persons, departments and clinics through implementation of policy and procedures.

  • Manage the maintenance of neat, accurate medical records files, which include retrieval, and filing of active and inactive records, accurate tracking of records and purging records in preparation of transfer to off-site warehouse storage.

  • Work with the Director of Operations to identify problems, set objectives, and develop action plans to address issues as needed.

  • Communicate directly with patients, attorneys, physicians, hospital staff, and administration from all levels.

  • Perform all responsibilities in a manner that demonstrates appropriate behavior towards staff, peers and other department personnel as defined in the departmental and UPMC/UPP job performance standards.

  • Employee can be relied upon to work steadily and effectively and for punctuality and regularity of attendance.

  • Assist or assign staff in the pulling of records in relation to on going studies conducted within the department.

  • High school diploma or equivalent required.

  • Minimum 2-3 years experience in a medical records department of a physician's office, hospital or equivalent.

  • Prefer graduate of an approved Health Information Management or Medical Records Technician program.

  • Ability to alphabetize a must.

  • General knowledge of computer software and practice management databases is essential. Knowledge of the EPIC practice management programs desirable.

  • Strong organization, time management and interpersonal skills.

  • Analytical, decision-making and problem solving skills, as well as the ability to coordinate the work of others and communicate and interact effectively with physicians, corporate and department management and staff personnel.

  • Ability to communicate effectively and professionally both verbally and in writing is required.

  • Ability to function with minimal supervision is required.

  • The position requires the ability to consistently maintain confidentiality with regards to all job assignments and related information.

  • Prior supervisory experience preferred. Licensure, Certifications, and Clearances:

  • Act 34
