Your Opportunity

An immediate opportunity exists in our Markham office for a Construction Project specialist to join our Construction Administration Team. As the successful candidate, you will be responsible for the development and maintenance of our Contract Administration documentation program and to ensure consistent, timely completion, distribution, tracking, coordination, and management of all documentation required during the active periods of construction.

You will provide our Construction Administration Team with the document preparation and management skills necessary for successful delivery of our construction projects.

Your Key Responsibilities

  • Document Control including document preparation, distribution, and management on multiple projects working directly with the CA Team, Contractors, and Clients under the direction of the CA Team Lead.

  • Development and maintenance of our CA master template documents.

  • Coordination, tracking, final preparation, and distribution of construction tender documents including full administration of the procurement process.

  • Coordination, tracking, final preparation, and distribution of contractor documentation such as RFI’s, Submittals, Change Requests, Change Directives, Site Instructions, Progress Draws, Payment Certifications, meeting notes, site review reports.

  • Coordination, tracking, final preparation, and distribution of post construction documentation such as contractor deficiency lists, security release documents, engineering certifications.

  • Liaise with municipalities and design team to facilitate certification of constructed works and return of securities.

  • Preparation of cost estimates of land development construction works.

  • Ensuring that the clients’ needs are met in a timely and cost-effective manner.

  • Manages and maintains CA Team workload management and safety training/tracking of the CA Team.

  • Implements and manages continuous improvement of documentation processes and systems, and technology (Builterra).

Qualifications

Your Capabilities and Credentials

  • Excellent interpersonal communication skills (both verbal and written) are essential.

  • Excellent organizational skills and attention to detail.

  • Strong multi-tasking skills with the ability to prioritize and organize multiple concurrent assignments.

  • Proficiency in MS Office Suite, Adobe Acrobat, ProjectWise, Bluebeam, FTP sites, SharePoint, Teams.

  • Prior experience in document control role.

  • Prior experience in consulting or working for a Construction Manager/General Contractor is a plus.

  • Extensive knowledge in the field of inspection and contract administration of municipal engineering works with a preference working on Land Development projects is considered an asset.

  • Experienced in project planning, risk management, cost management, schedule management and preparation/administration of contract documents and specifications.

  • Ability to interpret construction drawings and specifications.

  • Ability to work both independently and cooperatively as part of a team.

Education and Experience

  • 5 years of experience in a document control role preferably with some with large projects.

  • 2 Year Construction Management Degree or equivalent experience is an asset.

  • Bachelor’s degree or equivalent in Planning, Architecture, Landscape Architecture, Engineering, Science, Business, or related field is an asset.

Typical office environment working with computers and remaining sedentary for long periods of time. Field work may include exposure to the elements including inclement weather.
