Brown-Forman Logistics/TTB Specialist in Lynchburg, Tennessee

Meaningful Work From Day One

Responsible for the coordination of distributor and customer orders of 19,000,000 cases from 170+ countries from receipt at Jack Daniel’s through arrival at final destination. Manage all activities and communications with 24 Global Supply Chain Analyst, 10 Supply Planning Analyst, external carriers, brokers, and TTB Officers. Manage shipment documentation and history. Prepare shipments for tender, tender loads to carriers, and prepare all documentation for shipments to be compliant with TTB and transportation regulations for distilled spirits.

What You Can Expect

  • Coordinate the shipping of all distributor / customer orders. Receive and deliver customer orders in SAP / ERP system daily based on customer delivery dates and production availability.

  • Sole contact for 30+ Customer Service / Supply Chain Analyst groups to execute customer orders to meet customer expectations on delivery.

  • Perform shipment transactions in SAP ERP system, including any changes necessary to a delivery for accurate invoicing and case goods inventory.

  • Manage and optimize container / trailer pool of 70-110 containers. Support the utilization of line loading to optimize load teams and dock doors.

  • Complete OOS report and Late Shipments report monthly to help track plant KPI’s.

  • Complete shipment paperwork, including, but not limited to, bill of lading, TTB 5100.11 forms, certificates / declarations, packing lists and other required documents based on customer and country regulations.

  • Generate pro forma invoices and Canadian customs invoices

  • Attach all shipment support documentation to delivery in SAP, distribute, and file paperwork.

  • Prepare TTB documentation for bulk-whiskey shipments (International and Domestic).

  • Prepare TTB 5110.27 forms for all internal and external in bond shipments. Maintaining 3 different TTB serial number files.

  • Provide supporting documentation to Accounting for payment of taxes on tax due withdrawals as well as any taxes due on tax free shipments.

  • Receive and tag POS, in transit consolidations, and MBSO in SAP / Warehouse Management System from receiving dept, BFL, and WR. Troubleshoot any picking and receiving issues related to these items.

  • Maintain Google Dashboard used to track daily shipments.

  • Continuous follow-up required to ensure shipments are consolidated and ship in full.

  • Proof of Export: entails verifying the classification of an order and ensuring that we have received the appropriate type of proof of export (ocean bills of lading, signed 5100.11, certificate of receipt, and airway bills) as required by TTB regulations and for the right number of cases. Post receipt in TTB serial number file scan and attach documents to delivery note in SAP. File original copy in physical file.

  • Troubleshoot SAP ERP - Warehouse Management system issues: Picking errors, Make to Order issues, zero cases available, batch characteristics, unpick and pick deliveries.

  • Balance proof gallons and cases shipped daily.

  • Assist Accounting in the research and reconcile proof gallon balancing issues.

  • Maintain complete history of all shipments, including appropriate filing of documentation and providing historical information.

  • Manage inventory and replenishment of flat seals, cable seals, warlock seals, and packing lists.

  • Assist as needed in the annual case goods inventory physical count for in-house and TTB audits.

  • Efficiently manage 28 dock doors to ensure proper loading of orders by most productive use of loading crews and product location in the warehouse.

  • Balance cases shipped against daily shipment reports generated in SAP and report totals to Asst. Shipping Manager.

  • Participate in TTB audits, responding to questions/problems and developing procedures and standards to correct any deficiencies.

  • Assist as needed in the research of distributor/consumer discrepancies and complaints.

  • Acquire proof-of-delivery and/or track shipments for delivery verification.

  • Provide all necessary information for problem resolution. Coordinate with Accounting, Shipping management and employees, and Customer Service (international and/or domestic) throughout problem resolution. Receive (into warehouse and SAP system) and maintain documentation on returned whiskey. Prepare and distribute appropriate information to Accounting, Scheduling, Shipping and Customer Service (international and/or domestic).

  • MIGO intrasits, MBSO’s, and stock transfers into SAP.

  • Process under and over (ZUSH & ZOSH) inventory transactions in SAP.

  • Assist invoicing and credit departments, including preparing documentation required for payment of excise taxes on damaged or lost-in-transit international shipments. Track quality of carrier service as to late, on-time and missed shipments. Obtain and keep current operating authority and insurance certificates on all domestic carriers.

  • Work with Logistics Dept. in researching and making corrections to shipments in SAP to ensure proper payment to carriers.

  • Ability to multitask in a high-volume high intensity work environment with a high degree of accuracy.

  • Knowledge and understanding of Logistics and Warehouse Management.

  • Perform other duties as required.

What You Bring to the Table

  • Bachelor’s Degree in business or related field with 1 year of related experience in a production facility; or an Associate’s Degree and 3 years experience in a business or production environment maintaining records and accurately processing paperwork; or equivalent education/experience combination.

What Makes You Unique

  • Graduate degree (MA) in business administration or related field with 3- 5 years experience in a production atmosphere.

  • Experience with computer integrated manufacturing systems or ERP systems; SAP R/3 experience a plus. Knowledge of transportation modes, services, facilities, equipment, claims, and rates.

  • Knowledge of export documentation/customs requirements. Demonstrated experience in consumer packaging.
