OVERVIEW
The Administration Assistant will manage a range of office and administrative activities, supporting the Plaistow Operations, IT, New Product Development and Research & Technology teams.
DETAILED ROLES & RESPONSIBILITIES
Team Support and General Administration
Serve as the first point of contact for enquiries about Plaistow.
Manage holidays, attendance and time management in SAP for all teams.
Provide general support for management functions, including checking and ordering office stationery and equipment.
Support and coordinate visits from the ASR Group Executive Team, customers, or other visitors.
Booking meeting rooms and arranging lunches/refreshments when required.
Arrange travel requirements for team members as needed.
Maintain record keeping filing systems, accurate archiving and ensuring offices kept to a good 5S Standard.
Actively participate in Core Value audits and manage monthly compliance to internal standards
Plan and coordinate events
Log and track facility management works for Plaistow
Ownership of budget tracking and reporting for Plaistow
Coordinate facilities request with company’s facilities management partner for all teams.
Training
Maintain all employees' training records and folders ensuring all training requirements are up to date
Manage SuccessFactors Training with support from managers
Coordinate training courses with the training team where required
SAP Administration & Invoicing activities
Check & prepare invoices for authorization for Plaistow Services
Processing all materials & service entries for the site in SAP (Purchase requisitions, good receipts, reconciling of stock etc.)
Process end of month SAP transactions and clearance of incomplete movement queues.
Support fixed cost budget management through tracking of payments and reporting
Site Communication
Updating Plaistow Company Intranet Pages
Coordinating Roadshows, Townhall and Recognitions
Use of Redzone to communicate to the Plaistow staff
Updating the key message corridor and the Appspace for the monthly manager’s cascade
WORK EXPERIENCES
Experience in a similar role/environment is desirable
Technically competent with experience in SAP or similar systems
Computer literate with advanced MS Office skills
