As an Administrative Assistant, you will provide day-to-day administrative support under limited supervision. This position will provide administrative services to the Vice President of Engineering and other company leaders. It is anticipate that this individual will operate from one of the Michels offices located in Wisconsin or Minnesota.

Key Responsibilities:

  • Serve as the primary point of contact for internal and external communications, including emails, calls, and correspondence.

  • Manage and maintain schedules, calendars, and appointments for engineering leadership and team members.

  • Coordinate and organize meetings, conferences, and travel arrangements, including booking venues and preparing materials.

  • Prepare and edit reports, presentations, and other documentation for team projects.

  • Maintain accurate and up-to-date filing systems, records, and databases.

  • Manage and maintain company business licenses and team member’s individual professional licenses and certifications.

  • Assist with procurement of office supplies, materials, and other resources required by the team.

  • Manage and maintain internal online business information in Salesforce.

  • Support project teams with administrative tasks, such as tracking deadlines, documenting minutes, and following up on action items.

  • Liaise with other internal groups and external vendors to facilitate collaboration and resolve administrative issues.

  • Perform other general administrative duties as assigned to ensure the team’s success.

What it takes:

  • 5+ years of related administrative experience as an administrative assistant or in a similar support role (experience in an engineering or technical environment preferred).

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools is a plus.

  • Exceptional organizational and time-management skills, with strong attention to detail.

  • Excellent verbal and written communication skills.

  • Ability to multitask and prioritize workloads in a fast-paced environment.

  • Strong problem-solving skills and a proactive approach to tackling challenges.

  • A high level of professionalism and discretion in handling confidential information.

  • High school diploma or equivalent required; an associate’s or bachelor’s degree in a related field is a plus.
