Bright Thinker, Inc. Administrative Assistant to EVP of Operations and Client Services in Lewisville, Texas

Job Overview:

BrightThinker is seeking a highly organized and detail-oriented Administrative Assistant to provide support to the EVP of Operations and Client Services. This role will be pivotal in assisting with operational tasks, supporting sales functions, and serving as backup to our national and international sales teams. The ideal candidate will be proactive, adaptable, and able to manage multiple responsibilities in a dynamic, fast-paced environment.

Key Responsibilities:

Executive Support:

Assist the EVP of Operations and Client Services with daily operational tasks and ensure smooth workflow.

Schedule and coordinate meetings, calls, and conferences for the EVP, prioritizing time management and efficient scheduling.

Maintain and update operational workflows, documentation, and systems.

Sales Support:

Provide ad hoc support to the Sales Director by preparing reports, gathering data and materials, and assisting with tracking needs.

Manage conference schedules, including handling travel arrangements, registrations, and communicating with conference organizers.

During peak sales periods, input orders into the system and track their progress to ensure timely delivery and customer satisfaction.

Take incoming calls and emails from prospects and customers, addressing inquiries professionally and providing information as needed.

Manage and coordinate sales-related activities and projects as assigned.

Communication and Customer Interaction:

Serve as a primary point of contact for web-based sales inquiries and communications.

Maintain positive relationships with existing customers and handle follow-up correspondence as needed.

Coordinate client meetingsboth virtual and in-personensuring that all necessary resources and materials are prepared ahead of time.

Administrative Support:

Maintain organized records, files, and perform data entry across various platforms and CRM systems (e.g., Salesforce, HubSpot).

Assist team members in ensuring operational tasks are completed efficiently and on time.

Handle general administrative duties, ensuring smooth operations for the department and providing backup as needed.

Miscellaneous:

Assist with unnamed or additional duties to support the national and international sales teams.

Help streamline processes to contribute to continuous improvements in efficiency across the team.

Coordinate with the Warehouse team to manage the shipping of conference-related exhibits, support materials, and marketing materials.

Qualifications:

Proven experience as an administrative assistant or in a similar role, ideally within a sales or operations environment.

Strong organizational skills with a keen attention to detail and ability to manage multiple tasks simultaneously.

Excellent written and verbal communication skills.

Ability to work independently and as part of a collaborative team.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and familiarity with CRM systems (Salesforce, HubSpot, etc.).

Previous experience in education technology or working with sales teams is a plus.

Comfortable handling confidential information with discretion and professionalism.

Physical Requirements:

Ability to sit for extended periods of time and work on a computer.

Occasional travel for conferences and meetings may be required.

Ability to lift up to 40 lbs., including shipping materials or conference-related items.

Job Type: Full-time

Pay: $20.00 - $22.00 per hour

Expected hours: 40 per week
