We are looking for a dynamic and organized Administrative Assistant to join our team. The ideal candidate will be responsible for a variety of administrative tasks, ensuring the smooth operation of our office. This role requires someone who is adept at multitasking, has excellent communication skills, and can provide exceptional customer service.

What you'll do

A typical week in the life of an Admin Assistant involves a variety of tasks to keep the office running smoothly and efficiently:

  • Handle a busy Google Calendar, scheduling appointments and meetings.

  • Greet visitors, answer phones, take client orders, assist walk-in clients, and book veterinarian appointments.

  • Operate the switchboard, direct calls, and manage conference room bookings and supplies.

  • Book travel, hotel, and car rentals for staff.

  • Monitor and order office supplies, perform daily mail runs, and handle general maintenance and cleaning tasks.

  • Pick and check client orders, receive products, schedule couriers, and assist in loading client orders.

  • Facilitate communication between clinics, forward phones, record messages, and book emergency slaughters.

  • Clean and wrap surgical packs, assist with filing and mailing duties, and support other daily administrative tasks.

  • Coordinate and manage monthly recognition programs for staff.

  • Manage client invoicing and accounts, ensuring accuracy and timeliness.

  • Oversee inventory management, including packaging orders and shipping samples.

  • Perform various other tasks to ensure the smooth operation of the office.

What you bring

  • Previous experience working in an administrative function within an office environment.

  • Prior experience supporting a team and strong customer service skills.

  • Ability to shift priorities and restructure the day based on changing business demands.

  • Proven ability to analyze issues, exercise good judgment, and proactively respond to requests.

  • Strong work ethic, attention to detail, and organizational skills.

  • Strong oral and written communication skills.

  • Professional, responsive, and positive work attitude is essential.

  • Ability to work efficiently, independently, or as part of a team.

  • Proficient in Microsoft Excel, Adobe, Word, and other relevant technology (accounting software experience is an asset).

  • Demonstrated leadership experience and ability to multi-task effectively.

Great-to-haves

  • Proficiency in advanced computer skills and software.

  • Experience in coordinating events or meetings.

  • Familiarity with veterinary practices and procedures.

  • Veterinary Medical Receptionist Certificate

This is an in-office position located just outside of Lethbridge, Alberta. Shifts include Monday – Friday, 830 AM – 5 PM and every third Saturday 8 AM – 12 PM
