Description of Job

T he Program Assistant II provides ongoing tasks, duties and assignments for the Analyst V, and the Commission forDivision of Racing, and is located at theLakewood Office of the Department of Revenue. This position is required to work at the off-track Racing Facility located at 26000 E. Quincy Ave, Aurora, CO 80016 on an as needed basis through out the year, however during the live racing season fromJuly - Oct yearlythe position will be required to work weekends and holidays during those summer months. T

Assistant to Racing Commission

  • Coordinate all aspects of Commission business including scheduling of meetings, development of agendas, collection and distribution of materials, and preparation of minutes. Prioritize issues coming before the Commission.

  • Attend and record minutes for staff meetings each month. Serves as a back-up licensing specialist to cover licensing duties for the Division's Arapahoe Park and off-track facility office locations. These back-up duties require travel as necessary.

  • Performs receptionist type duties, including answering phones, issuing photo license identification badges, processing mail, ordering supplies, answering inquiries.

Tracking Disciplinary and Legislation Actions

  • Develop and maintain legislative tracking for the Racing Events Division. This includes analysis of proposed legislation, working with the Analyst V and Communications Officer in coordinating requests for information and responses to DOR Policy and Analysis Section and the legislature.

  • Maintain tracking of all Racing Division disciplinary actions. Coordinates with Legal Assistant II and Agent in Charge and also conducts follow-up to guide actions through Commission disciplinary process.

  • Works with the Division Legal Assistant II to prioritize all cases and determines when to schedule hearings before the Commission. Determines who needs to appear and what persons need to be advised of. Additionally, schedules court reporters and/or other needed resources for the conduct of such actions before the Commission.

Facilities Management and General Office

  • The person in this position will schedule and track building maintenance. The person will prepare the Commission Room for meetings. Retrieve from the Post Office and distribute all mail. Coordinate all FedEx, UPS, and USPS Certified Mailings.

  • Assist the Agent in Charge with special project assignments and perform administrative duties for the office.

  • Assists in personnel management activities; maintains records and coordinates orientation/training for newly hired and current staff as needed.

  • Assist licensing staff as needed with application, badges, data entry, fingerprinting, fleet maintenance.

MINIMUM QUALIFICATIONS:

Experience Only:

Five (5) years of relevant experience supporting leadership.

OR

Education and Experience:

A combination of related education and/or relevant experience in an occupation related to the work assigned equal to five (5) years

    The preferred candidate will possess the following qualifications:

  • State experience in a general clerical role.

  • Demonstrated flexibility and ability to identify and handle simultaneous, competing priorities, often with minimal notice.

  • Ability to anticipate tasks, situations, etc., to carry out responsibilities.

  • Experience working with a Commission (e.g. Gaming or Horse Racing industries).

  • Experience coordinating/leading committees or other structured events/groups in a professional setting.

  • Strong organizational skills.

  • Ability to work in a flexible environment requiring change and accountability.

  • Ability to multi-task in a fast-paced environment with strong attention to detail.

  • Ability to prioritize workload and delegate assignments to meet goals and objectives.

  • Ability to work independently and get assigned duties accomplished within the specified timeframes without needing to be reminded.

  • Excellent written and verbal communication skills.

  • Experience working with commissions.

  • Ability to prioritize tasks and manage workload independently

  • Create documents, reports w/charts & graphs, spreadsheets, and organizational charts.

  • Ability to use and navigate computers, systems and software.

  • Proficient with Google Suite and Microsoft Office.

    Conditions of Employment with the CDOR :
