Essential Functions

NDF Paralegal

Location: Katy, TX

Reporting to the General Counsel, this role will manage and/or provide support in at least some of the following areas (please note that experience in all these areas is not required, but preferred in at multiple areas):

• Global entity management: This will include organizing, updating, and maintaining documentation and data in the legal entity management platform, coordinating notarizations, apostilles, legalized documents, certified copies, corporate filings, and other corporate documents; facilitating the execution of Power of Attorneys, annual fillings, and other corporate documentation as required for up to thirty entities globally.

• Compliance: Supporting the company’s due diligence and investigations related to third party intermediaries, such as distributors and agents.

• Litigation: Managing and tracking spend versus budget, responding to third party subpoenas, coordinating witness schedules, managing discovery, and coordinating with internal stakeholders.

• Insurance: including engaging insurance providers to obtain certificates of insurance requested by customers, supporting/managing insurance policies and assisting with the management insured and uninsured claims.

• Other duties as assigned, to include contract support and managing contract workflows including corresponding with external law firms and customers/vendors.

Additionally, this role in conjunction with other administrative support in the organization is likely to be involved with the following:

• Managing invoicing procedures and workflows to ensure compliance with guidelines.

• Support with processing invoices, new vendor onboarding, vendor training, and billing error resolutions, and serve as a liaison between vendors and internal stakeholders.

• Organizing legal and compliance training; and

• Assisting with the organizing quarterly board meetings, including organizing schedules, agendas, and preparing board materials.

To be successful in this role, you should possess the following qualifications and experience:

• Bachelor's degree or equivalent work experience with a professional paralegal certification.

• Previous experience in a law firm or company with international operations is preferred.

• 5+ years of experience in any of the following types of roles: business administration, project/program coordination or legal.

• Strong skills in organizational, written, and verbal communication.

• Ability to multi-task and manage multiple short- and long-term projects.

• Strong MS Office skills.

• While there is flexibility to accommodate personal needs, this position is primarily an office-based role due to the close coordination needed with the team and is expected to be in the office for a majority of the workweek.

Education & Experience Requirements

Paralegal certification. 2 years related experience. General knowledge of legal terminology and processes. Basic understanding of matter management. Strong computer skills. Strong communication skills. Highly organized.

Position Summary

Under general supervision, performs a variety of legal functions, which may include research of law, investigation on facts, and coordination of the gathering of information from various departments in the preparation of contracts and other legal documents. May review certain contracts, transactions and other legal documents to ensure necessary provisions are contained herein. Ability to provide support for pending litigation including collection of documents, coordination of meeting with witnesses and interaction with outside counsel. Handles special projects, as assigned.
