Logan Health Procedural Scheduler | Neurosurgery in Kalispell, Montana

Job Description Summary:

This position performs scheduling services and administrative support to enhance the function of the assigned area(s) to provide optimal patient care and ensure a seamless patient experience.

The Neurosurgery Procedural Scheduler is responsible for coordinating and scheduling surgical and procedural appointments for neurosurgery patients.

This position serves as a key liaison between patients, surgeons, operating room staff, and other healthcare professionals to ensure efficient scheduling and seamless patient care. The scheduler must maintain excellent communication, organizational skills, and attention to detail to facilitate timely and accurate scheduling.

Key Responsibilities:

  • Schedule neurosurgical procedures, pre-operative appointments, and post-operative follow-ups while ensuring optimal use of surgeon and facility time.

  • Manage surgery scheduling and assist patients in scheduling ordered diagnostic testing (i.e. imaging, injections).

  • Coordinate with multiple departments, including the operating room, anesthesia, radiology, and referring physicians, to confirm availability and procedural requirements.

  • Obtain and verify insurance authorizations, pre-certifications, and referrals as needed.

  • Provide patients with pre-operative instructions, including required tests, medication restrictions, and arrival times.

  • Ensure all necessary documentation, including consent forms and medical history, is completed and submitted before surgery.

  • Communicate any schedule changes, cancellations, or delays to patients, surgeons, and relevant staff promptly.

  • Maintain accurate and up-to-date patient records in the scheduling system.

  • Answer patient inquiries regarding procedural scheduling, insurance coverage, and required preparations.

  • Assist in optimizing the surgery schedule to maximize efficiency and minimize delays.

  • Adhere to hospital policies, HIPAA regulations, and patient confidentiality standards.

    Qualifications:

  • Minimum of one (1) of the following preferred:

  • Post high school education or vocational training in healthcare.

  • Previous work experience in healthcare or customer service.

  • Knowledge and understanding of medical terminology.

  • Other combinations of education and experience may be considered.

  • High school diploma or equivalent (required); Associate’s or Bachelor’s degree in healthcare administration or related field (preferred).

  • Minimum of 1-2 years of experience in medical scheduling, preferably in a neurosurgery or surgical setting.

  • Knowledge of medical terminology, insurance processes, and surgical procedures.

  • Proficiency in electronic medical records (EMR) systems and scheduling software.

  • Strong organizational and multitasking skills with attention to detail.

  • Excellent verbal and written communication skills.

  • Ability to work collaboratively with healthcare professionals and provide excellent patient service.

  • Understanding of HIPAA and patient confidentiality regulations.

    Work Environment & Physical Requirements:

  • Office-based position within a hospital or clinic setting.

  • Frequent use of computer, phone, and other office equipment.

  • May require occasional lifting of files or paperwork.

  • Ability to handle a fast-paced work environment with frequent interruptions.

Schedule:

Logan Health operates 24 hours per day, seven days per week. Schedules are set to accommodate the requirements of the position and the needs of the organization and may be adjusted as needed.
