  • Proven experience in administrative roles within the construction industry, particularly in commercial construction projects.

  • Proficiency in project management software and Microsoft Office Suite.

  • Familiarity with contract management processes and procedures.

salary: $50,000 - $55,000 per year

Responsibilities

  • Receive, organize and process all contract documents with clients and owners.

  • Generate and process documents including but not limited to: performance and payment bonds, certified payroll, certificate of insurance, notice-to-owners, EEO, etc.

  • Prepare, expedite and track purchase orders, subcontracts, submittals and all documents required to contract with material vendors and subcontractors

  • Work with project managers to clarify and detail subcontractor and material vendor scopes.

  • Analyze quote, submittal and purchase order terms and conditions submitted by vendors.

  • Track submittals and ensure that documents are compliant and completed timely.

  • Obtain subcontractor performance and payment bonds according to contract requirements.

  • Ensure all vendors have submitted proper insurance certificates.

  • Assist Project Managers with all contract related items including RFIs, pay requests, invoice approval, release of liens, project close out documentation, etc.

  • Participate in “project handoff” and “job planning” meetings.

  • Set-up and manage contract files.

  • Analyze material and subcontractor requirements and solicit bids and quotations accordingly as directed

  • Manage and maintain project management databases including, but not limited to, subcontractors, vendors, material specifications, “best management practices”, etc.

  • Provide day-to-day administrative assistance to project managers and other management.
