Baptist Memorial Coordinator-Tissue Implant in Jackson, Mississippi

Summary

Responsible for management of Operating room tissue implants (and in some cases wound care clinic), both biological and non-biological required meeting the daily needs of our patients.This includes all activities related to the acquisition, receipt, storage, and issuance of tissues for any areas outside of the clinical laboratory that store or issue tissue.This applies to human and nonhuman cellular-based transplantable and implantable products whether classified by the US Food and Drug Administration (FDA) as a tissue or a medical device.

Critical to this position is developing key relationships with various departments, vendors, contractors, and surgeons/providers. Responsible for demonstrating professional demeanor and maintaining confidentiality in all interactions with both internal and external contacts.Must possess attention to detail, strong interpersonal skills, and be team oriented.

Responsibilities

  • Responsible for the overall operation of the tissue implant service(s) including billing, ordering, receiving, stocking and inventorying of all biological and non-biological implants throughout Hospital.

  • Maintains tissue implants in the supply chain database to assure availability for nurse documentation and charge capture within electronic medical record.

  • Assures product availability by maintaining appropriate inventory levels, proactively reviewing the upcoming OR schedules for routine, loaned, consignment and special order tissue implants.

  • Meets Joint Commission, FDA and any other regulatory body requirements for the tracking products using unique device identifiers throughout inventory distribution processes-from receipt to use on the patient.Reports compliance monthly and annually to leadership.Identifies any variances.

  • Coordinates requests for equipment, supplies and implants, and makes recommendations when potential conflicts are identified.

  • For assigned service(s), performs monthly audits of nursing documentation for all tissue and FDA trackable implants, when used, to assure complete and accurate entry into the tissue tracking software/log.Tissue tracking is bidirectional (from ordering to implantation and from implantation or return to supplier to ordering).Documentation of monitoring recorded in electronic reporting system.

  • Monitoring of any temperature-controlled areas/freezers/refrigerators, etc. for compliance and notification to Clinical engineering for any discrepancies.Determines next steps if tissue is affected due to too low temperature, etc.

  • When regulatory agency notifies of a recalled, etc. tissue, provides information within electronic reporting system while also notifying the Risk department.

  • Upon receipt, enters all tissue products into the tissue tracking software/log.

  • Initiates and completes incident report via OSCAR relating to post-tissue implant infections, adverse events, tissue equipment failures, recalled tissues, etc.Coordinates any recalls or implant failures.Coordinates any adverse events with Risk Management/Quality.

  • Serves as an expert resource for reviewing compliance of accreditation standards, departmental requirements for tissue management and reviewing policies and procedures for same.

  • Trains users in use of the tissue tracking software/log to document implants and supplies appropriately.

  • Effectively communicates and collaborates with the OR scheduling and billing offices, vendors, contractors, surgeons, providers, Central Sterile Processing, vendors, Revenue Cycle, Materials and Perioperative management to meet the daily needs of our patients.

  • Remains knowledgeable of the application software and other IS adopted software, if electronic tracking system is utilized.If an electronic tracking system is not utilized, knowledge of the various logs/forms for tissue process for the acquisition, receipt, storage, and issuance of tissues.

  • Keeps track of manufacturer's instructions for use for all tissues implanted to ensure process completed appropriately by staff for the implantation of the tissue.MIFUs are stored for 10 years per FDA requirements.

  • Assures all tissue information usage cards are returned to the supplier as required by regulatory bodies.This includes assuring patient information is recorded, and card is sent to supplier.

  • Assures all tissue documentation is kept on file per FDA guidelines.

  • Leads and participates in Operating Room quality improvement projects related to tissue and implant process.

  • Works to improve and provide the necessary administrative, technical, and clerical support required for safe and compliant tissue management program within Operating Room and/or wound care clinic.

  • Remains in contact with OR Leadership throughout the day regarding any system concerns, problems, and promptly escalate issues as needed.

  • Works with Supply Chain ongoing inventory audits for expired tissue items and when necessary, tissue equipment maintenance.

  • When appropriate, helps new staff understand implant and tissue products storage, handling, documentation, charges, and waste.

  • Supports staffing with any implant or tissue related questions as needed, and monitors new staff tissue and implant compliance.

  • Develops and keeps current processes on tissue products and assists in the review or revision of policies and procedures.

  • Performs staff in-services related to tissue and implant best practices, requirements, and updates.

  • Communicates the working operation of the monitored tissue product freezers and refrigerators with clinical engineering, Supply Chain, and OR Leadership.

  • Serves as a consultant to the hospital and all disciplines on issues related to the Implant and Tissue Program.

  • Receives and provides feedback to members of the health care team regarding performance or best practice standards

  • Demonstrates a commitment to hospital's values through teamwork, utilizing effective communication to achieve quality outcomes, patient safety, customer satisfaction and a clean, safe, and therapeutic environment.

  • Provides reports and participates in meetings as assigned.

  • Contacts vendors and surgeons' offices as needed.

  • Other duties as assigned.

Requirements, Preferences and Experience

Minimum Education: A high school diploma

Preferred Education: Bachelor's Degree

Minimum Experience: 3 years direct OR experience

Minimum Training: Knowledge of OSHA requirements for safe handling of blood and body fluids.

Preferred Training: Clinical and/or scientific experience in a research setting.

Preferred License: IATA certification for regulated biological material transport
