Job Description:

The Service Coordinator will be responsible for performing a wide variety of service-related tasks for our Dalmatian Fire Service Team in Indianapolis, IN. This position will work closely with customers and additional service team members to coordinate, prioritize, assign, bill, and close all service requests in a timely and efficient manner.

Essential Duties and Responsibilities:

  • Receive customer requests for service in a professional manner, obtaining needed information to dispatch the calls efficiently.

  • Responsible for coordinating, prioritizing and assigning service work orders to manage customer’s expectations and making judgments based on current workloads and priorities.

  • Utilize accounting system to pull work order numbers.

  • Utilize Building Reports Software for scheduling and validating technicians debrief information on service tickets

  • Assist with processing payroll – approve timesheets and send to payroll. Check for accuracy including job numbers, customer signature, description of work, and vacation time.

  • Dispatch service partners/subcontractors as needed.

  • Work with customers to the completion of project.

  • Calculate, prepare, and send accurate invoicing to customers within one work of completed service date.

  • Maintain document retention for electronic copies of service acknowledgements, work orders, and inspection reports.

  • Always maintain confidentiality of customer and employer information.

  • Perform or assist with additional tasks as directed.

Qualifications:

  • This position requires proficiency in computer usage above basic Microsoft Office & Windows Skills. Must be tech savvy.

  • Experience with AS400 / TrueLine accounting system a plus.

  • Proven experience in multi-tasking and executing several difficult tasks at once – incoming calls, scheduling, internal personnel, emails, tracking down information, etc.

  • Must be organized, self-motivated and have a strong work ethic.

  • Dispatching or scheduling experience with Technicians, Project Managers, etc.

  • Professionalism in email and over the phone.

  • Must be able to retain training in an organized fashion to be successful.
