General Requirements:

Associates Degree in related field. Four years relevant administrative assistant experience or experience in a related field. Supervisory experience preferred. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

Nature & Purpose of Position/Usual Duties:

Performs complex administrative assistant duties for the department of Victim Studies and the College of Criminal Justice.

Primary Responsibilities (Staff Positions Only):

Performs complex administrative assistant duties within the Department of Victim Studies, the Crime Victim’s Institute and the College of Criminal Justice’s Internship and Career Office. Ensures that procedures, policies, and objectives are consistent with overall strategic goals. Responsible for day-to-day operations of the departments while effectively delegating responsibilities to student workers including implementing procedures to effectively streamline and prioritize work. Works closely with the Department Chair of Victim Studies, the Director of the Crime Victim Institute, and the Director of CJ Internship and Careers. Coordinates the faculty evaluation process, external reviews, and the academic scheduling of courses. Oversees the payroll Electronic Personnel Action Form (ePAF) process for the departments. Ensures that appropriate departmental policies and procedures are in place and ensures compliance as necessary regarding budget, travel, procurement, and other operational functions. Monitors all budgetary expenses and provides necessary reports to upper administration and management. Oversees all department level procurement card expenses and approves all departmental purchasing requests. Assists in coordinating events for internal and external stakeholders. Serves a critical role as liaison between the department and college level and university level administration as needed. Works closely with college level administration to ensure policy and procedures are followed. Works closely with the Associate Dean for Programs and Assessment on goal assessment and data gathering for reports. Performs other related duties as assigned.
