POSITION SUMMARY

Coordinates all event preparation and performance aspects related to the facility. Acts as liaison between the facility and tenants ensuring all tenant requirements are met and facility rules, regulations and policies are adhered to. Produces CAD drawings for all events and supervises part-time events staff.

MAJOR RESPONSIBILITIES

  • Advance event with clients/tenants to ensure all aspects of event are planned and covered for. This includes, but not limited to, staff schedules, IATSE calls load-in/load-out times, catering coordination, operational requirements, show rentals, EMS/Police/Security coverage and technical requirements.

  • Produce CAD drawings for events including concerts, family shows, sporting events, trade shows and other arena events to ensure tenant and facility are working off same information.

  • Inspect building and specific meeting areas to evaluate suitability for occupancy, considering such factors as air circulation, lighting, location, room size and event requirements and work with Operations department to ensure we are fulfilling client needs to the highest of standards.

  • Ensure that the equipment, physical set-up and personnel provided meet the requirements of the event and the tenant’s contractual agreement.

  • Develop assignment schedules for all staffing requirements for the proper presentation of event.

  • Monitor performance of front of house staffing including patron’s services, security, medical and event staff.

  • Ensure all pertinent information is obtained, compiled in event files and distributed to proper entities. This includes but is not limited to compiling, filing, and distributing medical service reports, incident reports, ejections, arrests, parking lists, staffing schedules, payroll and turnstile/stub reports.

  • Coordinate with the Box Office regarding technical and production requirements that impact sightlines and/or cause seating obstructions when producing CAD drawing.

  • Oversee the participation of related departments, such as operations, food and beverage, marketing, finance, box office for facility events.

  • Work irregular schedule to ensure proper supervision of all events and activities scheduled in the facility, as required including nights, weekends and holidays.

  • Compile hours for EMTs, Police Officers, or any other subordinate staff or contract staffing.

  • Maintain the proper image and generate positive public relations with artists, clients, exhibitors, patrons and staff.

  • Make immediate decisions and communicate with all users of the facility in an emergency.

  • All other duties and responsibilities as assigned.

WORKING CONDITIONS

This position is not substantially exposed to adverse conditions.

EDUCATION AND/OR EXPERIENCE

Bachelor’s degree from an accredited four-year college or university and two (2) years related experience and/or training; or equivalent combination of education and experience.

SKILLS AND SPECIFICATIONS

  • Demonstrate knowledge in industry terminology, facility capabilities, operational procedures, event coordination and event-related services.

  • Demonstrate the principles and techniques of supervision, training, budgeting and other administrative duties

  • Handle conflict, make common sense decisions and exercise proper action during high tension and stressful situations.

  • Operate a personal computer using Windows, Word, Excel, Outlook, Adobe Acrobat and AutoCAD

  • Communicate effectively in written and oral form.

  • Organize and prioritize work to meet deadlines. Work effectively under pressure to produce accurate results.

  • Work independently, exercising judgment and initiative.

  • Be licensed and insured to operate a motor vehicle in the United States

  • Remain flexible and adjust to situations as they occur.
