Description

We are offering a contract to hire employment opportunity for an Administrative Assistant role in Honolulu, Hawaii. The function of this role is to provide clerical, administrative, and project-based support in the realm of government affairs and programs. This job is based in a traditional workplace setting. Responsibilities:

• Management of the Director’s calendar/schedule.

• Scheduling of events, meetings for City Affairs Committee (CAC) and Programs Department on calendar, and via Zoom or in-person.

• Arranging travel and related arrangements for the department.

• Providing daily support with meetings, events, and activities of the Director and department.

• Preparing and maintaining the CAC agenda, minutes, bills, resolution, and meeting materials in a scheduled and timely manner at the direction of the Director of Government Affairs & Programs.

• Maintaining files and official records associated with CAC.

• Assisting with PowerPoints for CAC member presentations.

• Cross-training to support other functional areas during times of particular need.

• Performing other duties as needed by the department or other departments.

Skills:

• Proficient in Data Entry, Email Correspondence, Microsoft PowerPoint, Schedule Appointments, and Calendaring.

• Ability to handle Expense Reports, Travel Arrangements, Prepare Meeting Agendas, Meeting Minutes, and Microsoft Office Suites.

Requirements • Must have a minimum of 3 years of experience as an Administrative Assistant or in a similar role

• Proficiency in Microsoft Office Suites, including Microsoft PowerPoint

• Strong skills in Data Entry and Email Correspondence

• Experience in scheduling appointments and managing calendars

• Experience in preparing and managing expense reports

• Ability to make travel arrangements and prepare meeting agendas

• Experience in taking and distributing meeting minutes

• Must demonstrate strong organizational skills and attention to detail

• Excellent written and verbal communication skills

• Ability to work independently and as part of a team

• Must be able to prioritize tasks and meet deadlines

• Must have a proactive approach to problem-solving with strong decision-making skills

• Professionalism and a positive attitude is a must

• Must be able to maintain confidentiality, and demonstrate integrity and ethics
