HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:

  • The candidate will create and maintain various Excel spreadsheets for the contracts team

  • The MSA will follow, maintain, and update existing SOPs while also creating new SOPs as necessary

  • Generate various reports via the Sponsor's financial, accounting, and budget systems for presentation to a variety of customers across multiple levels

  • The candidate will manually enter and/or scan data in support of invoice processing into the Sponsor's Financial, Accounting, and Invoicing system

  • They will also track invoice statuses and will check on the funding status offline items across multiple system platforms

  • The candidate will be responsible for managing contract workflows on behalf of office management and Contracting Officers as well as ensuring compliance with established archiving SOPs for long-term records management

  • The candidate will communicate with COTRs if invoices sit waiting approval for an extended period and ensure COTRs are providing adequate follow up to inquiries relating to invoicing discrepancies/reconciliation

  • The candidate will be responsible for providing administrative guidance and status of taskings as necessary verbally and via email, as required

  • Excellent oral and written communication skills are required

  • The candidate will be responsible for disseminating and communicating incoming phone calls/faxes/emails to the appropriate officers via all forms of available communication media (eg. verbally, telephone, email, etc.)

  • The MSA will solicit input from various members of the office, and place supply orders and distribute or properly store the supplies accordingly

  • The MSA will be expected to monitor the status of equipment, make trouble calls without prompting, and keep paper supplies stocked both in the copiers and printers and in inventory.

WHAT YOU'LL NEED TO SUCCEED:

  • The position requires an active TS/SCI with Polygraph clearance

  • The position requires High School Diploma and three (3) years of relevant experience or equivalent combination of education and experience

  • Core hours are 9:00am - 3:00pm

  • Candidate must be able to operate in a team environment as well as successfully work on their own

  • This position is on customer site

The likely hourly rate for this position is between $27.82 - $34.50. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
