What’s the Job?

We are offering an engaging and compelling career offer as the Executive Assistant Manager – Hayman Village. You will be responsible for providing key support to the Village Operations Manager.

Your day-to-day

· Day to day office requirements and project work as requested.

· You will be a Kronos Champion! Assisting the Operations team with accurate recording and administration of the Village’s S&W budget. Ensuring Village Departmental leaders are rostering and approving correctly.

· You will be focused on assisting the F&B outlets of the Village; shop, diner and bar with tasks such as stocktake, ordering, recruitment and performance management – up to and including disciplinary issues.

· Ensure that the Village Bar is compliant with RSA practices and appropriate marketing.

· Negotiate with suppliers to ensure price and integrity of product is acceptable.

· Be responsible within the team for using and updating systems such as Opera and Infrasys.

· Receive orders in our purchasing system, ensuring all goods received are recorded and coded correctly before submission to the AP Team.

· Assist in managing maintenance issues in the Village and using HUB to log jobs and follow up on completion status.

· Create and manage Smartsheets relevant to Village Operations.

· Assist the in raising CAPEX and other projects involving the sourcing of quotes. · Assist with day-to-day tasks such as greeting guests and suppliers.

· Assist with the creation of presentations for internal and external events.

· Assist with Departmental onboarding and development documentation, access requests and uniform assignment.

· To remain updated on all Village happenings, including guests in-house, arrivals and departures, as well as daily events and activities.

· Assist in welcoming all new Village arrivals

· Attend all training carried out by the Training Department and ensure all culinary staff attend training as per scheduled by the department.

· To attend the regular Management meetings and minute each meeting to distribute those minutes to the relevant Village department heads.

What we need from you

· Professional writing skills and use of software applications to assist in preparation of various documents.

· Your problem-solving skills will be second to none allowing you to overcome any obstacle that comes your way.

· You will be a quick learner and someone who is able to self-teach using the resources available to them.

· You will have a positive and friendly attitude that is engaging to other colleagues and leaders.

· Experience – Ideally, you have previous experience in a similar role and a proven record of working in a remote location.
