Role Summary:

To support our goals as an industry leader, we are seeking an individual adept at project management and Legal & Compliance operations support work to join our dynamic Asia Legal & Compliance team at our Gurgaon office. The position will report to the Chief Counsel, Asia and is expected to be self driven, involving regular interaction with business, law & compliance leadership.

You will be responsible for the full spectrum of project management (throughout the process from project plan to project completion) and to lead operational support for various projects, programs, initiatives and transitions (“projects”). You should display excellent interpersonal skills to build quality relationships with the team, our internal clients and stakeholders, be self-driven and able to work with minimal supervision.

You must be able to work in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, timely and efficient. Strong English written and verbal communication skills, decision making ability and attention to detail are equally important. The ideal candidate will be highly organized with a process-oriented and operational mindset, demonstrating ability to:

· Work around different time zones

· meet constant demands of prompt turn around and high quality results at short notice from senior leadership

.

Primary Duties:

Secondary duties

· Overall lead, plan, initiate, coordinate and oversee various projects within the L&C department. Including evaluating current operational processes, recommending and implementing improvements; providing L&C related support to various working groups.

· Manage projects through deployment using principles of PMP/DMAIC and or proven implementation methodologies

· Ensure adherance to timelines, budget, and scope

· Monitoring the daily progress and status of projects

· First escalation point for project team members who need assistance. Act as arbitrator for project team members

· Identify and mitigate project risks, ensuring all stakeholders are informed of project status and any issues / red flags in timely manner. Track and resolve issues, initiating corrective actions as appropriate to manage delays

· Interfaces extensively with the Client and leadership teams to facilitate overall integration and to build an effective partnership for a successful implementation

· Build effective partnerships with business, operations, domain, program office, and other functional linkages

· Meeting management support – facilitating regular connects with key stakeholders, taking minutes, follow up on actionable items and deadlines

· Works with other members of the Team to provide progress updates to the manager, leadership, project teams, Steering Committees, and other interested parties and produce, analyse and distribute timely project status reports to key stakeholders

· Responsible for ensuring that all documentation relating to projects and programs accurately reflects the current status of changes and outstanding issues – maintains master Risk log

· Update databases with detail and status of projects for Clients, Steering Committees, and other interested parties

  • Assisting the Manager with operational issues

  • Assist with ongoing Lean and process improvement projects

  • Contribute to business meetings and report on issue status

  • Management Information System (MIS)

  • Monitor system operations and troubleshoot problems

  • Assist with recruitment and onboarding processes

  • Assist in budget preparation, reporting and resource management

  • Ensure streamlined delivery of administrative support including the processing of invoices/billing/expenses, matter & file management, document execution, among other duties

    Required Skills:

    · Technical Project management skills – project planning, documentation and execution using PMP principles in a Legal & Compliance context

    · Relevant training and/or certifications in a Legal & Compliance Operations role will be added advantage

    · Proficiency in Microsoft Office: intermediate to advanced Word, PowerPoint, and Excel, MS Project

    · Ability to multitask, adjust and prioritize according to changing needs

    · Knowledge of e-mail/scheduling software applications

    Competencies

    · Extremely strong English Communication Skills (written and verbal)
