Job Description:

Prospective and new undergraduate students

  • Meet with prospective students and their parents to explain the degree program and answer their questions. Respond to inquiries by email and telephone.

  • Represent SNRE in onboarding events including PaCE previews, HS/AA previews, transfer previews.

  • Participate in local recruitment events throughout the year including UF days, CALS recruitment events and SNRE activities.

  • Participate in remote recruitment events at community colleges and high schools.

  • Assist with orientation and registration questions and advise on selection of courses. Verify appropriateness of first semester registration.

  • Review transfer of credit for all newly admitted students. Make sure all academic work from other institutions is received by the Admissions Office and posted on the UF transcript. Conduct initial academic audit.

  • Advise each student for critical tracking courses needed and on timely scheduling to stay on track in the major.

  • Add students’ addresses, phone numbers, and email addresses to excel file and listserv for future correspondence.

    Current undergraduate students

  • Provide academic advising, registration assistance and career information to 200+ undergraduate students in-person, via teleconference, via telephone and/or via email each semester.

  • Consistently enter advising notes in student records.

  • Register students individually for departmentally controlled courses.

  • Maintain degree audits and verify their accuracy.

  • Monitor student academic progress, encourage timely enrollment in critical tracking and key major coursework, and guide students towards a timely graduation. Direct students to complete and regularly update four-year plans.

  • Prompt students to apply for graduation and review academic audits to make sure all degree requirements are met.

  • Evaluate courses in international programs and advise students on transfer of credits.

  • Advise non-majors of requirements and course selections for minor.

  • Notify students about deadlines, drop/add, advanced registration.

  • Manage the undergraduate listserv and send notices to the list.

  • Assist students with crisis management (difficulty with professor, withdrawal, dismissal). Refer students to appropriate administrative offices for more specialized assistance (Ombudsman, Dean of Students, Counseling Center, Registrar’s Office, and Admissions Office).

  • Identify and offer additional advising assistance to struggling students. Create action plans for getting struggling students back on track.

  • Organize the SNRE Liaison program. Recruit and interview new Liaisons each year.

  • Ensure post-advising surveys are available to students and encourage students to complete them.

  • Assist with the needs of the Environmental Science Alliance undergraduate student organization, and the Graduate Council.

Courses, Curriculum and Catalog

  • Enter all grades for students registered for SNRE departmentally controlled classes.

  • Process any grade change forms for departmental courses.

  • In coordination with the undergraduate coordinator, review information on the degree programs in the undergraduate catalog each year, making changes to reflect any changes in requirements. Delete courses no longer offered and add approved new courses.

  • Work with the Director on possible new degree programs delivered via online and through Innovation Academy.

  • Work with SNRE faculty and Administrative Specialist on course scheduling, room scheduling, and course evaluations.

Administrative

  • Serve on selection committees for faculty and staff positions.

  • Train and supervise OPS employees and Graduate Assistants.

  • Train new faculty in academic regulations and policies, and in online systems functions.

  • Assist in updating the information for the SNRE website.

  • Generate Enterprise Analytics reports at the request of the Director.

  • Represent SNRE in leadership roles such as serving as chair of the CALS Advising Council (undergraduate students).

  • As needed the incumbent is expected to serve as backup as Graduate Programs Advisor.

Marketing and Promotions

  • Create brochures and handouts for recruitment events.

  • Research promotion products and giveaways to hand out during recruitment events.

  • Schedule staff or students to represent SNRE at various recruitment events throughout the year.

Expected Salary:

$55,000 - $57,000; commensurate with education and experience

Minimum Requirements:

Master’s degree in education, counseling, or an academic field directly related to the advisor’s area of responsibility and one year of relevant experience; or a bachelor's degree in education, counseling, or an academic field directly related to the advisor’s area of responsibility and two years of relevant experience.

Preferred Qualifications:

Experience in advising and counseling students at the undergraduate and graduate level.

Proven skills in effective written and oral communication and ability to keep detailed records of student advising.

Record of accomplishment of high levels of student service, attention to detail, working knowledge of University of Florida regulations and procedures to facilitate recruitment, excellent judgment, multicultural competency, and sensitivity.
