Description:

The Clinical Supervisor is a professional team member who has responsibility for the supervision of Pediatric Department Medical Assistants. These responsibilities include direct supervision of the medical assistant and includes planning, scheduling, productivity, staff development, orientation, staff education in accordance with current position description and future practice directions of the health center.

The clinical supervisor will work with the Administrative Director on the evaluation of the performance of medical assistant. The Clinical supervisor will serve in a collaborative role with the department’s Resource Medical Assistant to provide continuing education and support quality improvement and practice initiatives.

The Clinical Supervisor works collaboratively with Administrative and Medical Leadership and all health care team members in the Department of Pediatrics. The Clinical Supervisor demonstrates commitment to their own professional development and continuing education.

The Clinical Supervisor reports directly to the Administrative Director.

Essential Duties & Responsibilities

  • Recruits, hires, orients, coaches and evaluates all medical assistant staff. Orients new students and/or volunteers.

  • Conducts weekly chart reviews with new medical assistants for their first 3 months of employment in Family Medicine.

  • Participates in 3 month review of new MA’s and nurses assists with development of goals; participates in annual performance appraisal.

  • Monitors medical assistant and provider staffing ratios appropriate to needs of patients. Continually assesses staffing patterns to assure safe, high quality, and efficient use of personnel and resources.

  • Promotes a sense of “teamwork” through inclusion, collaboration, and advocacy.

  • Promotes and facilitates medical assistant clinical and professional development.

  • Sets Medical Assistant meeting agenda, chairs meetings, is responsible for minutes and identifies measurable outcomes in collaboration with the administrative director.

  • Assesses needs; supports and coordinates competency based educational and training programs for medical assistants.

  • Oversight of PCMH initiatives relative to medical assistant role.

  • Assists in recommending annual unit staffing.

Collaboration and Coordination with Nursing Staff​

  • Develops and coordinates orientation of new nurses to the department.

  • Support nursing implementation and maintenance of transitions of care.

  • Serves as an administrative or educational resource to nursing staff for initiatives as requested.

Departmental Responsibilities

  • Acts as a resource for medical assistants and nurses on electronic medical record management.

  • Coordinates and participates in population management initiatives through Healthy Planet.

  • Participates in development and maintenance of Pediatric SharePoint Site.

  • Assists in planning for capital equipment needs in collaboration with the administrative director.

  • Maintains and assures a patient/customer friendly and confidential environment. Keeps focused on internal and external customers when making decisions.

  • Coordinates/conducts monthly patient-safety/Open for Business audits

  • Coordinates/conducts audits and makes recommendations in compliance with all regulatory bodies.

  • Reviews and responds to patient feedback, including nurse or medical assistant-specific compliments and concerns.

  • Completes infection control investigations and reports.

  • Demonstrates an understanding of cost-effective practices and policies. Exercises initiative by acting with a clear business purpose.

  • Solves problems independently and knows when to seek consultation.

  • Participates in quality improvement programs in collaboration with administrative director.

  • Acts as a clinical resource and role model to staff.

  • Participates in projects and workgroups as requested by the department.

  • Ability to cover Administrative Director responsibilities in her/his absence.

Knowledge, Skills, and Abilities Required

  • Demonstrated teaching skills.

  • Excellent interpersonal skills: Ability to communicate effectively in writing and verbally.

  • Excellence in providing care to diverse populations.

  • Aptitude for learning new information technology platforms.

  • Experience with Microsoft Office programs: Excel, PowerPoint, Outlook

  • Resourceful, self-motivated, ability to prioritize.

Qualifications:

  • Licensed Medical Assistant

  • Required: Minimum of 3-5 years Medical Assistance experience in an ambulatory care practice setting.

  • 2-3 years of supervisor experience preferred

  • Bilingual in spanish/english is preferred
