This posting is for a 100% time, continuous, in-person position The pay rate range for this position starts at $22.71/hr and depends on qualifications Schedule: M-F 8am-4:30pm, occasional nights & weekends Overview: The Advancement Assistant provides support to the University of Minnesota Duluth (UMD) Advancement team members and reports to the Advancement Operations Director/Assistant to the Advancement Executive Director. This role is housed within the Advancement Team, which in turn is housed within the UMD Chancellor's Unit. Individuals in this role must be able to handle highly confidential matters. Must be able to work at a desk on a computer for extended periods and lift 25 lbs. with or without accommodation. Must be able to work on campus M-F from 8:00 a.m. - 4:30 p.m. Position requires occasional evening and weekend work. This role serves as the department receptionist greeting guests, provides administrative support to the department, and as a liaison between the Advancement Office and the UMD Campus and University of Minnesota Foundation as assigned. Primary Responsibilities: Administrative Support 80% Draft correspondence, memoranda, reports, and assist Advancement Marketing Associate with promotional materials, forms, and invitations. Event planning (RSVPs, obtain alcohol permits as necessary, reserve room, catering, flowers, pictures, name tags, etc.). Provide support at Advancement events (greet donors, alumni, and VIPs) including Homecoming, UMD Grad Party and key donor events. Gift processing. Monitor acknowledgement dashboard and prepare custom acknowledgement letters. Responsible for evaluation and modification of file systems. Help maintain the DMS database in UMD constituent records. Monitor content and frequency of development mailings; processing mailings and stay abreast of mailing regulations. Attend monthly Advancement staff meetings Assist in coordinating data and research requests Provide administrative support to Advancement team including: accurate typing, answering phones, greeting guests, copying, faxing, processing mail, creating and maintaining databases, and maintaining development office filing systems. Proofread documents, correct grammar, punctuation, spelling and check information/links for accuracy. Plan and prioritize meetings. Order office supplies Provide travel assistance for development related trips Department Support 10% Track all new funds and communicate with Development Officers on funds that need to be addressed. Communicate with collegiate/unit Scholarship Officer, ensure new scholarships are entered into STAR with appropriate information, student thank-you letters, stewardship reporting, and serve as a liaison between Development Officer and the College/Unit regarding scholarships. Be a resource for informal orientation or guidance to collegiate department staff on scholarship process Assist department staff with DMS questions/issues. Assist in Advancement-related work and projects as directed by the supervisor. Serve as receptionist to greet guests, route phone calls, and staff office. Supervision and Other Duties 10% Supervise and train student office workers. Assign, monitor, and check work to ensure accuracy; conduct annual performance review for student workers. Other duties as assigned by the supervisor Qualifications Required Qualifications: High school diploma Four years of related office exp rience Education or training may substitute for some of the years of experience.
