Operations are funded by toll and concession revenues.\ \ Under the leadership of the Board of Directors and Executive Staff, the Tollway is committed to achieving the following goals: increase collaboration with regional transportation and planning agencies, promote the regional economy, maintain financial integrity, foster environmental responsibility and sustainability, maintain the safety and efficiency of the Tollway system, further transparency and accountability, enhance customer service, and maintain public trust.\ \ In support of this vision, the Operations Support Assistant is responsible for establishing and maintaining an environment that is respectful and responsive to the needs of our customers, serves as an initial point of contact at our Central Administration building and provides administrative support as needed. Operations Support Assistant welcomes visitors to the Central Administration building, provides administrative support, and supports and provides a wide variety of agency interdepartmental functions including p answering phones, greeting/referring/assisting visitors, customers, staff, or others, preparing documents and reports, compiling records, scheduling meetings, organizing and maintaining information, coordinating calendars and providing general office support.
\ Essential Job Functions
The Operations Support Assistant responsibilities include but are not limited to:\ \ Perform a variety of administrative duties associated with the overall operations of the Tollway\ Greet visitors and callers, handle their inquiries, and direct them to the appropriate Persons according to their needs in a responsive, respectful, and timely manner\ Serve as initial point of contact for the Tollways Central Administration building and ensure appropriate access to the Tollways I-PASS Customer Service\ Maintain security by following procedures, monitoring the logbook, and issue visitor badges\ Manage the daily opening and closing procedures of the front office\ Answer the phones, reply to emails, sort mail for further distribution through the Central Administration building, and communicate routine and general information to internal staff and customers regarding standard services and processes using prescribed or established guidelines.\ Schedule and cancel appointments/meetings/locations as needed\ Maintain and update employee tracking lists, organize and implement mass documentation, including training requests\ Receive, process, and ensure confidentiality of sensitive information and materials, including personal identification information\ Prepare, process, update, and compile routine documents, records and reports\ Other duties as assigned
\ Qualifications
Education (Required)\ *High School Diploma or General Equivalency Diploma (GED)\ \ *Skills and Experience (Required)\ Minimum of one (1) year of experience as a receptionist, administrative assistant, secretary, office coordinator, or similar support services\ Strong interpersonal and communication skills including the ability to effectively interact with all levels of management, staff and customers in a highly professional manner\ Ability to multitask\ Working knowledge and the ability to use Microsoft Office products; specifically, Outlo k, Excel and Word\ \ Additional Conditions of Employment (Required)\ Ability to work varying weekday shifts between the hours of 7:00 am and 6:00 pm.\ Ability to sit for extended periods of time.\ \ Skills and Experience (Preferred)\ Two (2) or more years of experience working as a receptionist, administrative assistant, secretary, office coordinator, or similar support services role\ Experience using Easy Lobby or some other Visitor Management system.\ \ \ The Illinois Tollway is committed to creating a diverse environment and is proud to be an equal employment opportunity employer.
