Administrative Assistant

Job Description

Purpose: The Title 1 and Professional Development Council Administrative

Assistant provides office and clerical support to assist with the

efficient operation of the offices of the director of Title 1 and

Professional Development Council. To accomplish these tasks, the

Administrative Assistant of Title 1 and Professional Development

works closely with the staff and administration of Derby Public

Schools.

Responsible to: Assistant Superintendent/ Teaching & Learning

Salary: District Clerical Hourly Rate Schedule, Level 2

Classification of Employment: Non-Exempt

Date: July 2023

Qualifications:

1. High school diploma or equivalent.

2. Minimum of two years clerical experience.

3. Demonstrated typing and filing skills.

4. Knowledge of computer operations and applications.

5. Vehicle and valid drivers license.

6. Desire to continue career improvement.

Essential Functions:

1. Knowledge, Skill and Abilities

a. Provide office and clerical support to assist with the efficient operations of

the school district.

b. Ensure that all activities conform to district and state guidelines.

c. Communicate effectively with all members of the school district and

community.

d. React to change productively and handle other tasks as assigned.

e. Appropriately operate all equipment as required.

f. Support the value of education.

g. Support the philosophy and mission of Derby Public Schools.

h. Comply with all district policies, rules and regulations.

2. Physical Requirements/Environmental Conditions

a. Requires the ability to sit or stand for prolonged periods.

b. Occasionally requires the ability to manually move, lift, carry, pull or push

heavy objects or materials.

c. Occasionally requires the ability to stoop, bend and reach.

d. Must be able to work in noisy and crowded environments.

e. Requires regular attendance and/or physical presence at the job.

General Responsibilities:

Title I

1. Maintain record keeping, purchasing and reports for Title 1.

2. Order all materials purchased by Title 1.

3. Purchase supplies and help with Parent Involvement Activities.

4. Submit purchase orders for Title 1 schools.

5. Track budget monies for Title 1 schools.

6. Maintain an inventory of all Title 1 purchased equipment and furniture.

7. Maintain records for completion of Title 1 reports and distribute to KSBE, Building

Principals and Assistant Superintendent:

? Title 1 portion of LCP Application Update

? Title 1 portion of LCP Annual Report

? Title 1 portion of Revision and Carryover of Funds

? Title 1 Continuing Schoolwide Reports

? Title 1 Comparability Report

? Title 1 Carryover Final Expenditure Report

? Title 1 Budget Amendments

? Title 1 Building Budget Reports

? Title 1 Summer School Report

8. Distribute information of upcoming workshops to Title 1 schools and teachers.

9. Distribute New Schoolwide Applications and Continuing Schoolwide Applications.

Professional Development (PDC)

10. Professional Development Council Administrative Assistant.

11. Complete State Inservice Report in January and June.

12. Minutes of monthly PDC meetings, distribute to council and buildings.

13. Coordinate elections to the Professional Development Council.

14. Coordinate and maintain total of all expenditures for all inservice requests for all

schools, instructional coordinators, and Special Education department according

to state guidelines and district inservice budgets.

15. Create purchase requisitions for registration fees and travel expenses.

16. Request transportation for activities.

17. Records and keeps records of each past and present certified staff members

professional development inservice points.

18. Create official transcripts for state recertification and advancement on the salary

scale for certified staff.

19. Answers e-mails and phone calls from certified staff members, principals and

building secretaries.

20. Collect information and file inservice state reports for which the district receives a

percentage of inservice expenses back for the state.

21. Maintain documentation for Professional Development points/hours earned.

22. Adhere to all district health and safety policies.

23. Other duties as assigned by the Assistant Superintendent/Teaching & Learning,

which are consistent with the general requirements and qualifications for the

position.
