Position Summary
As a Training & Development Administrative Assistant at Oncor, you’re responsible for providing a broad scope of administrative support to the Talent Management team by coordinating training programs, managing logistics, and performing a variety of administrative duties.
This role is essential to ensuring the smooth execution of initiatives such as the Manager Development Series (MDS), New Employee Orientation (NEO), and other team activities. This role will provide support to designated managers including the Talent Management team and Human Resources with the following tasks: coordinate calendars, meetings, and activities; coordinate travel arrangements/hotel reservations, vacation schedules, and reports; prepare and distribute various correspondence, emails, meeting minutes, etc.
This position will be 5 days in-office based in our Woodall Rodgers - Dallas, TX location.
Key Responsibilities :
Coordinates calendar planning and logistics for meetings, scheduled training sessions and securing dedicated space for meeting rooms.
Assists with training set-up, which could require travel to locations within our market area, and breakdown of materials.
Maintains assigned office equipment, coordinates travel arrangements & itineraries, coordinates supplies, training materials, printing, and meals, coordinates other services provided by vendors including routine purchase orders and local contracts, processes invoices for payment, prepares expense reports, reconciles credit cards, and manages the learning email inbox.
Prepares and distributes various correspondence through multiple channels such as email to distribute meeting minutes, vacation schedules, tracks expense reports, review purchase orders, and local contracts.
Reconcile procurement card and process invoices for payment.
Process workers comp invoices, prepare and mail LTD paperwork, process terminated employee files, and schedule interviews for investigations.
Process Texas Workforce Commission (TWC) inquiries and correspondence
Provides learning management system (LMS) support to learners and the training team; assists learners with enrollment and LMS issues, assists with training reports, conducts internal reviews of training records, and supports the LMS administrators on various tasks and projects, as required.
Serves as the SharePoint Administrator and other technologies for the team managing the learning inbox; creates and maintains subsites, pages, libraries, permissions and content.
Performs routine edits to training materials and other documents, prepares files, and retains documentation and records in accordance with department needs and company policies.
Ability to lift and move materials or supplies (up to 25 pounds).
Performs all essential functions and aspects of the job including any other specific job requirements.
Skills :
Excellent communication and organizational skills, attention to detail, and the ability to collaborate effectively across teams.
Strong organizational and time management skills with the ability to manage multiple tasks simultaneously with high level of attention to detail and accuracy.
Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, Access, SharePoint, and internet/intranet applications.
Demonstrated ability to interface effectively with internal and external clients at all levels, including executive management.
Ability to work independently and collaboratively in a team environment.
Strong problem-solving and critical-thinking skills.
Education & Experience :
High School diploma, GED, or equivalent and 2+ years’ experience in event coordination, administrative support, or a related role.
Will accept applicants with Associate’s degree or higher and 1+ years’ experience in event coordination, administrative support, or a related role in lieu of above criteria.
