$16.00 to $18.15 /hour - Placement in the range will be determined based on experience and other factors allowed by law.
GENERAL SUMMARY Performs the front desk reception and clerical responsibilities for the day habilitation program. May also be assigned to support other services as well.
ESSENTIAL FUNCTIONS Answer and direct calls, greets and direct visitors in professional and confidential manner; follow any and all screening and communication requirements for visitors. Sort incoming mail and distribute to employees. Efficiently operate office equipment including computer, copier, scanner, and fax machine, and provide or arrange for equipment repair. Maintain any front desk files, active service records and archived consumer files according to established JM Murray policy, ensuring timely maintenance and destruction of files; set up, purge and terminate consumer files as requested. Performs clerical duties necessary to maintain accurate records and service operations including but not limited to filing, copying, computer entry, organizing and ordering supplies, cleaning the team rooms and common areas, laundry, etc. Enter data into agency and other databases (CHOICES, NYESS) as assigned. Complete purchase orders, check requests or obtain quotes from purchasing department when needed. Coordinate purchasing of supplies; maintain inventory of office supplies and stocked supply area. Schedule conference room upon request, using the Outlook calendar and Outlook invites. Maintain records of purchases, tracking logs, bus and consumer attendance, (e.g. vehicle keys, gas cards, handicap tags, etc.); Petty Cash box and other front desk documentation. In conjunction with a DSP, Team Leader or Supervisor, may be assigned to assist with general supervision of consumers in team rooms, assistance during arrival and departure times for consumers, and other support related tasks. Attends all required and requested training and meetings, and maintains certifications for required training including but not limited to CPR, First Aid, AED and SCIP. May be assigned to obtain certification for medication administration based on program needs. Conducts self in a manner as to always contribute to maximum individual growth and in accordance with all regulations, the Code of Ethics and Company policy and procedures. Represents JM Murray and the JM Murray mission in a positive manner, treating people with respect and dignity. Performs additional duties and responsibilities, as assigned COLLABORATION INTERNAL Day habilitation staff, Consultants, and other JM Murray employees COLLABORATION EXTERNAL Residential program staff, family members EDUCATION and EXPERIENCE High school diploma or GED required One year of experience in general office and clerical work Experience working in not for profit agency serving individuals with disabilities a plus KNOWLEDGE and SKILLS Ability to work both independently or as part of a team Sound decision-making skills and judgment Good verbal and written communication skills, and efficient use of technology Compassionate and caring OTHER REQUIREMENTS Requires a valid NYS Drivers License that meets Company standards; requires proof of NYS minimum insurance coverage. Requires clearance through a Background Check process that will include, but is not limited to, clearance through the NYS Justice Center, the Office of People with Development Disabilities (OPWDD), the NYS Office of Child and Family Services, and the NYS Department of Motor Vehicles.
