Focus on the Family Sr Project Coordinator - Parenting in Colorado Springs, Colorado

The Sr Pro ject Coordinator - Parenting position exists to provide administrative assistance to the VP of Parenting and to support the tactical implementation of Parenting special projects, programs, and resources. Applies considerable initiative and independent judgment with most duties being executed with only general direction.
Essential Duties/Responsibilities:
Assists and relieves supervisor(s) of a variety of administrative duties by specific or general authorization; utilizes independent judgment, determining when to act for supervisor and when to refer problems for personal attention
Receives, distributes, and screens supervisor’s incoming email; using independent judgment, categorizes/prioritizes the responses as needed; takes initiative to prepare responses and to assemble background information from many sources; summarizes lengthy correspondence, highlighting key sentences and topics; follows-up to ensure that proper and timely action is taken
Places, answers, screens, and refers telephone calls; takes messages and responds to diversified inquiries determining from experience and training limitations on the extent and type of information which may be provided; takes independent action to acquire needed information for appropriate response
Interfaces with other departments within the ministry and/or outside contacts to exchange information, gather audience insights, answer inquiries, consult on problems, and secure cooperation or approval on action to be taken. In addition, will make sure metric dashboards are up-to-date and ready to be presented
Updates supervisor's calendar, ensuring optimum time management; resolves any questions concerning appointments
Arranges meetings, prepares meeting agendas and presentations, and communicates meeting schedules
Oversees flow of communications via information logging, routing, and direct personal contact, including routing of change of status requests for personnel, etc., through appropriate signature routes
Facilitates and coordinates internal team devotions and celebration events (i.e., birthdays, work anniversaries, retirement parties)
Supports Parenting special projects. Is responsible for implementing and executing all details of special projects, keeps impeccable and detailed records to ensure goals and objectives are met, and fills out necessary forms to get projects completed
Establishes and maintains processes to manage multiple projects
Researches information needed for various projects
Receives inquiries for speaking engagements and manages details for VP of Parenting. Provides follow up with each speaking engagement
Constructs detailed project implementation plans and identify schedulesto keep marriage special projects on schedule and achieve milestones
Analyzes project progress and, when necessary, adapts scope, timelines, and costs to ensure that project team adheres to project requirements
Reports project outcomes and/or risks to the appropriate management channels as needed—escalating issues as necessary based on project work plans
Other Duties/Responsibilities:
Prepares expense statements, being certain that all receipts are attached, allowable expenses are claimed, and that the total is correct
Orders and inventories forms, benevolent resources, and office supplies; maintains machine supplies
Acts as the department’s Designated Agent for purchasing
Performs other duties as assigned

Knowledge/Experience:
Bachelor's Degree in Communications, Business, or equivalent experience
1-3 years related experience

Ability to sort through traditional or historic corporate approaches or stated limitations and develop innovative and creative ways to solve problems and meet the needs of new and existing constituents

Pay Range: $20.00 to $23.00/hr
