After School Matters Program Administration Intern in Chicago, Illinois

After School Matters is a Chicago-based nonprofit organization that annually offers after-school and summer programs to nearly 19,000 Chicago high school teens to explore and develop their talents while gaining critical skills that will set them up for success in college and beyond.

Thirty years later, After School Matters has engaged more than 400,000 Chicago teens and is the nation’s largest and most successful provider of after-school and summer programs for high school teens. No other organization offers programs to high school students at the scale and quality that we do.

We offer paid apprenticeships and internships led by professionals in the fields of arts, communications and leadership, sports, and STEM (Science, Technology, Engineering, and Math). Our nationally respected youth development model has been replicated in cities across the country and earned us the City Livability Award from the U.S. Conference of Mayors.

Programs take place at community locations throughout the city, including three ASM buildings: downtown at Gallery 37 Center for the Arts, the Michael and Karyn Lutz Center in Belmont Cragin, and the Pullman community at Gately Park. Currently, After School Matters’ annual operating budget is approximately $35M and employs approximately 500 across the organization.

Summary of Position:

The Program Administration Intern will develop skills in nonprofit program management by supporting all aspects of After School Matters programming in our building locations. The intern will gain a broad exposure to the inner workings of a high-functioning nonprofit organization. They will assist the Program Directors, Senior Program Managers, Program Assistants and Program Specialists in overall administration and logistics of everyday programming. The Program Administration Intern will perform work directly related to the general business operations of After School Matters mainly for the summer session that runs for 6 weeks. The summer schedule is scheduled to begin June 24, 2024, and end August 2, 2024.

Gallery 37 for the Arts - After School Matters

Location: 66 E. Randolph

Ideal Schedule: 9:00 A.M. - 5:00 P.M.

Michael & Karyn Lutz Center for After School Matters

Location: 3435 N. Cicero, Chicago IL, 60641

Schedule: 9:30 A.M. - 5:30 P.M.

After School Matters at Gately Park

Location: 10201 S. Cottage Grove, Chicago, IL 60628

Schedule: 9:30 A.M. - 5:30 P.M.

Major Duties and Responsibilities:

  • Verify accuracy of program logistics and enter information into the Cityspan database

  • Assist staff with the daily operations of our ASM buildings including supporting arrival and dismissal and overseeing teen snack breaks.

  • Assist with communication to program providers, teen participants and parents.

  • Monitor teen enrollment and attendance

  • Verify teen participants have satisfied program requirements prior to award distribution including confirming enrollment of teens for I9 document collection

  • Support Programs department with tracking of expenses and data entry

  • Support with teen program related inquiries; guide teens to utilize their individualized Teen Dashboard

  • Support building sense of community; creating signage needed to support daily flow of programming

  • Support program team with special initiatives, events, building protocol drills, and recruitment needs as assigned

  • Assist in the planning and coordination of building showcases

  • Other duties as assigned

    Knowledge, Skills and Abilities:

  • Ability to effectively, respectfully, and courteously communicate with After School Matters teens, parents, ASM staff and stakeholders via phone, email, and in-person is required

  • Excellent time management skills, including the ability to use various tools such as online calendars, spreadsheets, PowerPoint, etc. is required

  • Ability to prepare clear and thorough written communications that are free of spelling and grammatical errors is required

  • Basic Microsoft Office skills, specifically Word, Excel, Outlook, Goole Classrooms, and Canva is strongly preferred

  • Experience with online or digital data entry is strongly preferred

  • Ability to maintain confidentiality is required

    Qualifications:

  • Currently enrolled in an undergraduate or graduate program at a college or university is required; Education, Youth Development, or Social Work majors are preferred!

  • Former participation in After School Matters programs is preferred but not required.

  • Commitment to providing respectful and empathetic customer service is required.
