Aston Carter Executive Assistant in Chicago, Illinois

Description:

The person will be supporting the team (110 team members) 75% of the time and will be personally supporting 4 executives 25% of the time.

• Provides administrative support to various members of assigned function department, including calendar management, meeting, travel coordination, processing of expense reports and invoices and various other administrative duties, all with a sense of urgency and confidentiality.

• Provides general office support for assigned function, including ensuring efficient and professional operation of office; exercising discretion and diplomacy at all times.

• Communicates in a highly professional manner with individuals at all levels in the organization, industry, and community. Prepare and handle confidential and personnel information with trust & discretion, interface appropriately with internal and external clients including high level executives.

• Helps ensure leaders are properly prepared and on time for all meetings, project deadlines and deliverables.

• Prepares or coordinates the preparation of correspondence including forms, reports, presentation materials, and other written communication as required for executive and business meetings, often under tight deadlines. Assists in drafting, proofing, and editing various communications.

• Successfully manages calendars and scheduling with tact and discretion for personal and work engagements. Creates meeting agendas, coordinate staff meetings including notes and prompts for agenda items; proactively updates recurring events.

• Acts as main point of contact for external and internal requests, including meeting and greeting when necessary.

• Coordinate all logistics for travel, events, meetings, and conferences, including Demand Science annual All-Team Meeting. Expediently completes expense reports.

• Manages the utilization and ordering of office supplies, including special requests.

• Identifies administrative continuous improvements and to develop tools to assist department staff in their effectiveness.

• Ability to learn new software programs with limited training.

• Must present a professional image.
