The Payroll Specialist is tasked with the meticulous management of employee payroll, ensuring accurate calculation of wages, tax withholdings, and employee benefits. This role requires staying current with tax regulations and working closely with HR to align payroll processing with employee records. The specialist also addresses payroll queries from employees, assists in audits, and maintains payroll confidentiality. Proficiency in payroll software and a strong attention to detail are essential for a Payroll Specialist to support the financial accuracy and trustworthiness of the payroll department.
Responsibilities:
Payroll Processing
Collect and verify employee timekeeping records
Calculate and process payroll accurately and on time
Review and resolve any discrepancies in payroll data
Ensure compliance with federal and state payroll regulations
Payroll Reporting and Analysis
Prepare and distribute payroll reports to management
Analyze payroll data for trends and discrepancies
Identify and resolve any payroll discrepancies or errors
Create ad hoc reports as needed
Provide insights and recommendations based on payroll data
Compliance and Auditing
Ensure compliance with all federal, state, and local tax laws
Prepare and submit payroll tax filings
Conduct internal audits to ensure accuracy and compliance
Assist with external payroll audits
Stay up to date on changes in payroll laws and regulations System Maintenance and Improvements
Maintain and update payroll system and software
Test and troubleshoot system issues
Identify and implement process improvements
Train new employees on payroll processes and procedures
Collaborate with IT and HR departments on system integrations and updates

Qualifications
A associate’s degree in accounting, finance, business administration, or a related field with at least 4 years’ experience, with at least 1 year experience as a people manager or equivalent work experience that provides exposure to fundamental theories, principles, and concepts.
Proficiency with payroll software (Workday, ADP, Paychex, QuickBooks) and Microsoft Office Suite, especially Excel.
Precision is crucial for ensuring the accuracy of payroll data.
Comfort with numbers and calculations involved in payroll processing.
Ability to manage and prioritize tasks to meet payroll deadlines.
Understanding of relevant tax laws, employment regulations, and compliance requirements.
Preferred Qualifications
- Certifications such as the Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) can be beneficial.
