Description

We are seeking an Office Administrator to become a part of our team in Chapel Hill, North Carolina. The main role of this position includes managing office operations, coordinating administrative functions, and offering support to the team. This role is vital in sustaining a positive and productive work atmosphere.

Responsibilities:

• Coordinate and supervise daily office operations, including management of office supplies and shared office equipment.

• Act as the initial point of contact for visitors, clients, and employees, providing assistance in a courteous and detail-oriented manner.

• Manage and direct incoming and outgoing communications, including phone calls, emails, and mail.

• Oversee reservations for conference rooms and coordinate venue bookings for office and staff events.

• Manage and maintain inventory of conference and marketing materials.

• Ensure a tidy, organized, and well-maintained office environment, including common areas and workspaces.

• Liaise with vendors and service providers to ensure office needs are met.

• Provide support to the team on a day-to-day basis, including administrative tasks related to business development and client service initiatives.

• Assist with scheduling appointments, coordinating travel, and updating client and program status in the company database.

• Handle various bookkeeping tasks, including resolving billing discrepancies, making bank deposits, and managing media subscription

Requirements • Demonstrated proficiency in ADP - Financial Services is required.

• Experience with Cisco Webex Meetings is essential.

• Proficiency in using Concur for travel and expense management is a must.

• Strong familiarity with CRM systems is necessary.

• Experience with Kronos Timekeeping System is highly desirable.

• Knowledge of About Time software would be advantageous.

• Exceptional calendar management skills are required.

• Excellent communication skills, both written and verbal, are essential.

• Ability to coordinate and manage conference calls efficiently is necessary.
