    Job Description

HUMAN RESOURCES (HR) AND OPERATIONS ASSISTANT, Materials Science and Engineering (DMSE), to serve as a member of the department’s headquarters team and perform a wide range of highly sensitive and complex administrative and HR duties. Will assist with hiring, onboarding, and training student workers and temporary employees; process intake information required for HR transactions; handle confidential personnel files; and answer general Institute HR inquiries. Responsibilities will include processing information/documents related to complex visa paperwork for international scholars and functioning as liaison between prospective visiting scholars and MIT’s International Scholars Office; entering UROP and hourly student appointments into payroll system and ensuring students meet requirements; processing paperwork required to bring minors to campus; collecting information to hire temporary employees and entering into nextSource’s VNDLY hiring system; managing the onboarding of new temporary employees; preparing new hire paperwork and assisting with onboarding and offboarding; maintaining confidential employee files; coordinating mailings; disseminating information to faculty and staff; and performing other duties as assigned.

Job Requirements

REQUIRED: high school diploma; three years’ related experience in a professional administrative office support position; excellent organizational, customer service, interpersonal, and verbal and written communication skills; initiative and self-motivation; meticulous attention to detail; willingness to take initiative, research answers, and resolve problems proactively; discretion and good judgment with confidential information; ability to follow through on tasks, work independently and as part of a team, and interact effectively with people from different backgrounds; proficiency with MS Office, Outlook, Adobe Acrobat; and ability to use organizational tools and database systems to streamline and simplify departmental processes. PREFERRED: bachelor’s degree; MIT and HR experience; and experience with QuickBase, Cognos, and applicant tracking systems. Job #24150-5 6/17/24
