    Job Description

ADMINISTRATIVE ASSISTANT 3, Architecture, to provide administrative support to the department head (DH). Will manage the logistics for department faculty searches and promotion and tenure cases, acting as the primary resource on policies and procedures; collect, compile, and archive annual faculty self-assessment survey; act as liaison between the DH and the Dean’s Office and other internal and external offices/constituents; manage the DH’s calendar and schedule; make travel arrangements and prepare expense reports; schedule and coordinate meetings; assist with logistics for departmental events (i.e., commencement gatherings, symposia and lectures, retreats, and other special projects and activities), including catering, guest speakers, invitations, etc.; assist with inquiries and requests on an ad hoc basis as part of the department headquarters’ help team; coordinate the process for submission of the annual Report to the President and Outside Professional Activities reports; oversee yearly calendar related to department, school, and Institute activities; and work on other projects and duties as needed. Job Requirements

REQUIRED: high school diploma or its equivalent; at least five years of administrative, office, or related experience, preferably in an academic environment; excellent organizational, interpersonal, collaboration, and project management skills; ability to multitask in a fast-paced environment with changing priorities, demanding timeframes, and limited supervision; meticulous attention to detail; discretion with confidential information; experience managing complex calendars and coordinating logistics for meetings and events; and proficiency with standard Microsoft Office software. PREFERRED: familiarity with MIT SAP, Concur, and CANVAS; and experience with web CMS. Job #24216-6 7/12/24
